Common User Identity Systems
The Umbrella system presented is a novel solution for the demands of the photon / neutron community whereas the WP aims at considering all the RI's in CRISP. The requirements of the RI’s should be identified and understand what part is being addressed. An overall reference model showing the landscape and where this solution fits into the AAI ecosystem may help. It was suggested that the activity to deploy the Umbrella system should be identified as a pilot service and studied to what extend it could be of interest for the other communities. The scope of the problem is defined by considering what communities are supported. One of the goals should be a process for achieved trust between institutes.


IT&DM topic Meetings
It is required to have an IT&DM topic meeting every six months. As there is an annual CRISP meeting, we can consider appending an IT&DM Topic meeting to this. For the other meeting will will try to append it to existing meetings where possible to optimize travel/time. A meeting will be scheduled after 6 months, around end of March. In addtion we should aim to have one topic phone meeting each month.


Deliverable review process
This discussion will be postponed until after the kick-off meeting. We have to consider an approach that ensures the deliverable/milestone represents the view of each RI. The documents should be made available for open comments.

Requirement Gathering
This is a data gathering exercise and is common to all WPs. We need to understand the depth of gathering and which communities are the customers. This should help to identify the set of tools that are required. We will work together as a topic to produce and execture a combined survey.  A questionaire should be ready by month two and An initial set of questions  should come from the WP level and will be consolidated at the topic level. We must find some way to talk to the users.

Commonality
All WPs are concerned with AAI.
Data Access is common to WP17, WP18 and WP19.
Storage Systems is something that may also be common and we will revisit this after one year once we have the requirements.

Related Projects
We need to identify which projects exist and what do we have in common with them? Dissemination of our work is important so that others can see what we are doing and if it is related. There will be a harmonization meeting in Zürich in December that will bring together some realted projects.  The following projects were identified.
  1. Pandata
  2. Eudat
  3. CALIPSO
  4. Moonshot
  5. Biomed proposal ranking
Questions for the kick-off meeting

A number of questions were raised which we hope will be addressed at the Kickoff meeting.
  1. What administrative tasks will be imposed upon the WPs?
  2. What tooling will be provided centrally? (document repository, mailing lists, wikis, task tracker etc.)
  3. Is there a formal procedure for content/communication? (are we required to keep certain people in the loop on certain topics)
  4. Is there a requirement on the frequency of WP level meetings?
  5. How do WP leaders get in contact with the people assigned to their WP?

Other
As most of the work will take place at the work package level, reducing the project/topic overhead would be appreciated. The IT&DM Topic leader is the information link between the WP leaders and the rest of the project.
