Summary

1. Re-start of regular meetings
We discussed the necessity to restart regular working group meetings and encourage group conveners to use the available tools of Indico (meeting agenda management), CERN Zoom (videoconferencing) and the group mailing lists for announcements—please let know the STC know if you need help to setup Indico or Zoom for your meetings.

2. We discussed the letter of interest (LOI). The link to the LOI submission page is accessible from the main page of the African Strategy, www.africanphysicsstrategy.org. The process for the LOI submission was  reviewed and there were 3 comments:
- for working groups that have subgroups, consider the possibility to select subcategories;
- check if an LOI being submitted was already submitted / will be submitted to other groups as well;
- make available the list of contacts in African institutes for the solicitation of LOI.

So far very few LOIs have been submitted. We encourage group conveners and STC to submit their LOIs early. This might motivate others. We further encourage everyone to announce the call of LOI in their physics groups and professional societies. We will continue to advertise widely. The call for LOI is open until November 30, 2021.

3. ASFAP Community Planning Meeting (CPM) is scheduled for December 12-18, 2021, as an in-person event, joint with the 2nd African Conference on Fundamental and Applied Physics, ACP2021, planned in Morocco at the Cadi Ayyad University in Marrakesh. We will review the LOIs received at the CPM and start categorizing the LOIs into White paper topics. Registration is open for this event, here https://indico.cern.ch/event/1060503/. Depending on the evolution of the COVID-19 pandemic, we may change the format of the event to hybrid, fully online or in-person but postponed to January-March 2022. We will decide on the format by early October 2021.

4. We set up a google calendar of ASFAP meetings. We invite you to fill the calendar with your upcoming event details, and integrate it into your personal calendar system. Please let us know if you don’t have full access to the calendar.
