Minute Summary of Meeting

Present: M. Chabab, F. Fassi, David, Christine, Janna, Sanae, Kétévi, and Mounia.

• Prof. Chabab briefed on his meeting with several officials from Marrakech Academy. He introduced them to some elements of the learners' program, focusing on hands-on activities by David and Kenneth. The proposed timetable for the learners' program is as follows:
  • Marrakech: Monday, April 15
  • Chichaooua: Tuesday, April 16
  • Al Haouz: Wednesday, April 17
  • Kelaa: Thursday, April 18
  • Rehamna: Friday, April 19
• They also visited the selected high school in Marrakech and the proposed lecture rooms where the program should take place:
  • 2 lecture rooms with a capacity of 50 students, equipped with a PC projector and screen.
  • 1 larger room with a capacity of up to 80-90 students, suitable for arrangement with tables and a projector.
  • 1 amphitheater with a capacity of up to 200 students, suitable for presentations and lectures.
• The largest high school in the academy can accommodate a maximum of 150 students in the morning and 150 in the afternoon (300 students in total).
• High schools in other cities have lecture rooms with lesser capacities, allowing for a maximum of 200 students (2x100).
• Four activities are planned to be performed in parallel at each venue: accelerator physics, astrophysics, particle physics, and detector & instrumentation.
  • Therefore, 4 lecture rooms will be needed to run all programs in parallel from Monday to Wednesday, and only 3 rooms will be needed on Thursday and Friday.
• Janna mentioned that running 2 activities in the same lecture room may not be ideal as it could disturb the other activity, especially since the particle physics group prefers to have their own room.
• We also discussed the possibility of putting students together in the same lecture room if instructors cover the same topic.
• Prof. Chabab raised concerns about table arrangements, noting that they might be fixed to the ground or small.
• Sanae and Christine explained the program developing for the ASP2024 High School Outreach Program. For their hands-on activity, they will need 2 Electromagnetic Accelerators and 6 Gauss Cannons from Amazon.
  • Kétévi already sent a request to BNL to purchase them, and Christine needs to check if she can get the Gauss Cannon from ESS.
• Sanae mentioned that they are willing to share 30 minutes with other activities, allowing students to ask questions, discuss career paths, and provide feedback and reflections about the program.
• David from BNL mentioned that they already have all the necessary parts on order and have obtained information from DHL about how to pack everything, including rechargeable batteries.
• Prof. Chabab needs to provide the address for shipment and requested more detailed information on the equipment before shipping to ask the Dean of the UCA to write to customs for an exemption.

Catering Options and Clarifications

The availability of restaurants close to the High School venues is still uncertain. Prof. Chabab needs to confirm this in the next meeting to explore alternative solutions.
