1. Event poster:
   • Beltako showed a draft in progress of the poster. We agreed that it is a good progress. A few comments were made for improvement, in the contents and format.
   • IAC, ACP-IOC list to be updated
   • LOC to be extended more broadly to other institutes 
   • Email addresses of LOC members to be communicated to the IOC, to update ACP2025-LOC@cern.ch
   • ASP logo to be added. Poster title should include "ACP2025"
   • Corrected list of physics research and socieital engagement
   • Event date, September 14-20
   • All logos to be visible — improve combination of background colors
   • We will check if this poster should include ASFAP or there will be a separate poster for ASFAP
2. Conference registration and abstract submission — a few comments were made during the meeting. Once these comments are addressed, we will open registration and abstract submission
   
   • In registration, add option to display registrant's information or not
   • In registration, add option for the registrant to indicate field of research
3. Site Visit
   • Suggested period: Febrary or March 2025
   • LOC to discuss with the relevant authorities and come up — at our next meeting — with suggested weeks during that period
   • Then IOC will decide with week best fits its schedules
4. ASFAP symposium
   • Event date: September 22-25, 2025, connnected to ACP2025, to reduce travels and travel costs, since ASFAP and ACP have a large community overlap
