Jira Integration

Q: Is there an initiative to streamline integration with Jira?
A:
- Integration with Jira has been evaluated, but challenges, such as permissions and inconsistent usage across IT, have hindered implementation.
- A suggestion was made to include links to existing trackers to keep information updated and synchronized.
- A column for such links already exists, but usage is not enforced. Support is available for those wishing to adopt Jira for tracking activities.

Project Lifecycle: Maintenance Phase

Q: Should a "Maintenance" phase be explicitly included in project management for software projects?
A:
- In software projects, a "Maintenance" phase is crucial for addressing tasks such as bug fixes and adapting to infrastructure changes. This phase should be added between "Execution" and "Closing."
- Unlike migration projects, software projects may also involve future developments (e.g., moving from "version-N" to "version-N+1"), typically treated as separate projects.
- While some baseline effort for maintenance is considered, tasks like major upgrades (e.g., Python version updates) might not always be anticipated in early planning.

Project Management and Tracking Tools

Q: How does the PMO handle technical project tracking compared to Jira?
A:
- The PMO focuses on high-level project oversight, primarily managing human resources. Detailed technical tracking, such as Jira boards/issues, occurs separately.
- Links to Jira boards or issues can be added to PMO reports for additional context.

Template Alignment for Existing Projects

Q: Will existing projects align with the new templates?
A: Changes will apply only to new projects. Existing projects will not be modified.

Q: Can engagement channels and tracking formats be unified?
A:
- Efforts are underway to ensure consistency across different tracking systems. Business engagement and IT PMO tracking are currently reconciled manually.
- Collaboration with relevant teams could establish a unified tracking process.
