Speaker and Poster instructions

Instructions for Speakers at the SC4RC conference

Speakers and poster presenters (including virtual presenters) are requested to upload their talk slides and posters at least 24 hours before their session. Speakers are required to sign the speaker agreements they will receive.  Virtual poster presenters are encouraged to pre-record their 2-minute lightning talks to attach to their uploaded posters, and will be assigned a zoom room during the scheduled poster sessions in which interested attendees can interact with them.  Please do ensure your availability at these times.

If you are invited to give a talk during the conference, please take note of the following points:

  • Make sure that you have uploaded your slides, or presentation under your name and  contribution in the time table well before the start of your session.
    • You do this by clicking on the little pen next to your contribution in the time table. You need to be logged in to your computing account when doing this. The system will automatically create a pdf file of your talk.
  • Please check the time of your talk, and make sure that you are present in the room at the start of the session. There will be reserved seats in the front of the room for speakers.
  • Respect the allocated time of your talk! Please include some time in the end for a question or two.
  • The room is equipped with a video projector and the recommended format for your slides is 16:9 in power point format. We recommend that you use the computer that is in the room, someone will help you to make sure your talk is displayed.
  • You will be equipped with a clip-on microphone in the Main Auditorium.
  • Please note that sessions will be shared on Zoom, as well as recorded for futre viewing. You will be required to sign a speaker acceptance form online.

Poster session: recommendations and format

Please take into account the following general guidelines for your poster presentation;

  • It is your responsibility to print out the poster and bring it with you to the conference.
  • Poster size: We allow for posters up to A0 in size – we would strongly encourage you not to go for less than A1.
  • Poster orientation: portrait (recommended).
  • Text: use bullets and keep text to a minimum.
  • Titles and Fonts: Titles and captions should be short and easy to read. The minimum font size for all text is 18 pt.
  • Illustrations: Figures should be designed to be viewed from a distance and should use clear, visible graphics and large type. Each figure or table should have a heading of one or two lines.
  • We will provide the necessary support to attach the posters to the boards.
  • Please use the poster board that you will be assigned (you will receive an email about this later on).
