Dear all, 

Thanks a lot for you availability to the meeting we had today.

Present were: Angelito and Renaud (for HSE-RP), Nicolas, Laure and Hugo Bourgine (for SY-STI and the contract radiation works and decontamination service), Oliver (for HL-LHC WP8)

 For resuming and concluding:

After having introduced to the project by the Indico presentation our common discussion did not bring up any blocking points or critical elements.

We visited bldg.191 and continued discussions related to worksite preparation and organization being next to the future worksite.

 The following questions came up and partly need further clarification by help of the below named colleagues:

RP related:

• What residual doses will we have when starting machining the JFSC3s in July 2027? (proposal is to contact Robert Froeschl)
• What protective measures are mandatory at the different phases of the project?
  (fencing, signalization, shielding blocs, RP measuring equipment (e.g. hand-foot detectors), access control, access locks …)
• Arrival 1^st JFSU in July 2026 (no SAS, no works, only storage for ~10 weeks)
• Manual holes drilling in JFSU inside SAS in October 2026
• Robot installation as from December and machining start-up in January 2027
• Arrival 1^st JFC3 in July 2027
• How was the cleaning of chips removal realized in LS2? How will it be propose to do in LS3? (contact Jsabel and Christelle)
• Can bldg. 191 could become a controlled supervised area for the duration of the works? (contact ATLAS – Michel Raymond)

Worksite layout:

• Shielding blocs were seen as helpful to reduce risks related the operating robot. Highly recommended is to put blocs:
• Between robot and the operators desk (mechanical risks, noise)
• Between robot and building wall (reduction of radiation to the outside of the building) and possible mechanical damages (in case of uncontrolled robot movements) of the robot.
• Could the requirements for worksite supervision by physical presence be lowered if worksite would be fully closed by shielding blocs and access gates with locks? (contact HSE worksite safety)
• For better working conditions a solution would be needed to for the operators workstation and desk (max 3 people sitting, max. additional 3 people short time presence). (SY-STI contractor will draft a proposal for one of the next meetings meeting the robotics team.)
• Only 1 shielding piece at a time will be in building 191.

Worksite equipment:

• Oliver asked to experts to send to him until end of March the list of technical equipment that need to be organized for the worksite!
• For RP (e.g. 1 hand – foot contamination detector (electr. Connection 220V) – organization time – cost – person to contact
• SY-STI contractor:
• a very preliminary SAS specification and design proposal based on the information of the presentation including the option of having a heated operators office part.
• An inventory of equipment and material (incl. e.g. EPI, SAS material, cleaning material, waste bags etc.) and a preliminary price estimation
• A service proposal based on the understood needs (roughly describing the service volume to get to a preliminary price estimation)

Next steps:

• Oliver:
• Clarification of the number of shielding blocs available (contact: Michael Lazzaroni – BE-EA)
• Contact Robert Froeschl for all RP related pending questions and proposing a meeting in April (in copy RP colleagues)
• Clarifying worksite supervision requirements related to robots operation (HSE safety, BE-CEM) – meeting still in March
• Contact ATLAS for evtl. putting b.191 as controlled supervised area (through ATLAS Michel Raymond) - Creation of service tickets for bringing electricity and compressed air to the worksite.
• Contact EN-EL and EN-CV for possibilities routing services to the worksite (via Service Ticket)

The next meeting in which I like to bring all connected service units together I plan for week 17 or 18 (20 – 30 April).

If you miss anything discussed today, or think any relevant detail is missing (???) so far, please let me know.

Dear all,

Please receive this invitation for a first discussion together with SY-STI contractor on the support needed for the ATLAS shielding machining with a Kuka robot during LS3.

Just few details:

The start of machining the 1^st of in total 4 ATLAS forward shielding pieces has been confirmed for January 2027.

We expect the full worksite stretches over minimum 18 months.

Based on the experience from the LS2 and first discussions with the team of HSE-RP the need can be preliminary described as follows:

• a machining SAS operating at slight under pressure would be needed (installation between July and October 2026)
• preparation of the SAS for every change of machining configuration / change of shielding pieces (as from January 2027 – about 12 interventions over 18 months)
• decontamination service of the machining area in the SAS (eventually daily depending on machining speed and contamination)

Find below some impressions related to the machining during LS2 and a very preliminary worksite layout realized by the BE-CEM robotics team.

For the meeting I plan to organize a meeting room close to b. 191 so that we have a good discussion and a look into the hall hosting the worksite.

Precision will come soon.

I will prepare all kind of information that are available to me including pictures and videos from the LS2 worksite.

If you have already in mind specific questions, don’t hesitate sending me these before the meeting, so I can try to prepare them.
