If you haven't done so, please first proceed with the indico registration here.
The workshop fee for the participant is : 250 EUR (+10% VAT) for students and 300 EUR (+10% VAT) for others until 10th of September 23h59.
After that the fees will increase to 300 EUR (+10% VAT) and 350 EUR (+10% VAT) for students and others respectively up to the 10th of October 23h59, when the registration will close.
All the dates are intended for the payment, and not just the indico registration, see below.
It covers the cost of :
- Welcome drinks on Monday ;
- Social activity and conference dinner on Wednesday ;
- Lunches from Monday to Friday included ;
- Coffee breaks from Monday to Friday included.
The only registration method is through the conference web site, as it places your details directly into our database, and where you can pay by Visa or MasterCard through our secure web server only. We will not be able to accept onsite payments.
Steps to explain the registration and payment process :
- You register on the specific payment software: https://dr07.azur-colloque.fr/inscription/en/406/inscription
- On the second page, you will be asked for information about dietary requirements. This is optional as we already collected information on this in the pre-registration form.
- Do not forget to tick the box for the Coach transfer if you wish to travel by coach.
- You receive an email confirming your pre-registration ;
- You can proceed to the payment of the fees.
Please note that :
- The payment must be made by credit card for non-CNRS lab members and by purchase order (bon de commande - informations complémentaires ci-dessous) for CNRS lab members.
- Sometimes, if the wrong option of "Student", "Standard" or "Accompanying Person" is selected when going to the final screen, the other options may not appear if one wants to make a modification. In such a case, one should clear the cache or move to a different browser. Please contact us in case of any difficulties at hmbs-exotics_workshop_clermont_2026@cern.ch
For CNRS labs members:
- You need to use the same formulation and email address when confirming your registration (step 4). The online system (a bit rigid) asks for the exact wording when you enter your last name, first name and email address for the second time. Also make sure to use the correct lowercase and uppercase letters.
- When filling the pre-registration please indicate your laboratory under Department/Unit and CNRS under Organization's name.
- When filling the Registration, you should require for the invoice to be established "to organization's name", with the laboratory as "Last name" and its address. For the Tax information, enter the CNRS VAT number FR40180089013.
- At this point, you will receive an email with the doc called " information pour le bon de commande" to forward to your finance service (bon de commande interne CNRS au nom du Laboratoire de Physique de Clermont LPCA, code fournisseur 0922, bon de commande interne donc prendre en compte le montant sans TVA). Your colleagues will need to send the CNRS order form to the DR07 (dr07.budget@cnrs.fr) to finalise the payment. You should enter as well on AzurColloque the name, phone contact and email of the contact person. Please make sure that your finance service is following up on this.
- If you encounter a “technical” problem with the payment process and cannot terminate the transaction using your credit card, it is almost certainly that you created a computer bug. Your email address and data are then stored so you cannot start the payment process again. In order to solve this issue, we will cancel your registration so that you can pre register and go through the whole process of registration as a new participant.
- If you register as an accompanying person, please use a different email address from the one indicated in your spouse/partner registration.
