Hello and welcome, I’m Alex and this is a tutorial on how to use Skype for Business at CERN. Skype for Business is an application that allows you to call your contacts by phone, set up video calls, as well as organising meetings with a few more people. It’s like the usual Skype, but integrated with the CERN mail system, telephony system, phonebook and other tools. Skype for Business is installed by default on CERN-managed Windows computers. It is also available on: · Mac OSX · Smartphones/tables (Android, iPhone, Windows Phone) · Linux – Pidgin application For more information on Skype for Business please check instructions on https://cern.ch/sfb. In this tutorial, we will show you how to make a phone call to a regular phone number, how to call a Skype for Business user at CERN, and how to create a Skype for Business meeting directly from Outlook. Once you click on the "Skype for Business" application icon, the contact list will appear. This is your profile, and below, there is a list of your contacts and you can see what we call a Skype “presence indicator”. Depending on the colour (green, yellow, or red), this indicator will show you whether the person is available, away, out of the office and so on. You can search for one of your contacts using the search box. You can type their name, or their phone number and they will appear in the search results. You can add them to your contact list by right click -> Add to Favorites OR Add to ContactS list -> Other. You can start instant messaging, a phone conversation or a video conference with one of your contacts by hovering over his/her profile picture, and clicking on the appropriate button. The first one allows instant messaging with the contact. The second one will initiate a phone call, whereas the third button will start a video call. Finally, you can click on the contact card button in order to access all your contact’s information, such as name, phone number, mobile number, email address, and so on. The information from phonebook.cern.ch is automatically synchronised with Skype for Business. =============================== PAUSE FOR EFFECT HERE ========================================= ========= Let’s now take a look on how to make a phone call to a regular phone number ========== Type in the phone number in the search box and once the contact you are looking for appears, click on the “phone call” button, Once the phone call window appears, you can put the call on hold and later resume it, you can transfer the call to someone else, and you can add other contacts to the phone call. Please note that the maximum number of people you can add is 10. You can call a regular phone number at CERN, and provided you have the appropriate rights, you will also be able to call a phone number outside CERN in a similar way. ========= Let’s now have a look at how to call a Skype for Business user. ================================ By hovering over your contact’s profile picture, click on the “video call” button. A Skype for business window will appear. During the call, you can start instant messaging by clicking on the chat button, you can add video by clicking on the camera button, or you can click on the screen button to start sharing your screen with your contact. In case you need to dial another number during the call, you can dial the number by clicking on this button. As you can see, you can put the call on hold, you can transfer the call, switch device from your computer speaker to your headset if you have one, and adjust the volume. During the call, you can add other participants by clicking on the “add contact“ button. ========= Now let’s take a look on how to create a Skype for business meeting in Outlook. =============== A useful feature of Skype for Business is the ability to set up a Skype Meeting. You can invite up to 10 people and they will be able to attend the online meeting by simply clicking on a link at a date and time of your choosing. Once you are in Outlook, you can start setting up your online meeting by clicking on the “New Skype Meeting” Button. Now you will have to add the contacts you want to invite, type in the subject and the start time and end time of your meeting. Add some text that describes the content of the meeting. This is similar to creating a new standard Outlook event, but the difference is that in the body of the email there is a default text under the line with the link to join the Skype Meeting, along with other relevant information, such as the CERN number to call if you want join the meeting by phone. Make sure not to modify any of this while writing your email. If you want to check whether the contacts you want to invite are available at the time you’ve chosen, you can do so by simply clicking on “Scheduling assistant”. If the time of the meeting doesn’t match everybody’s availability, simply adjust the date and time of your meeting so that everybody can attend.
