Oral Contribution Guidelines

Contributed oral presentations are 15 minutes long + 5 minutes for audience questions.

All presenters have to upload on SPMS database an electronic copy of their presentation in Microsoft Power Point 2016 or PDF format at latest one day prior to the scheduled session using the following link: Click here

Presentations are viewed using a computer managed by MEDSI conference. No personal computer can be used. Macintosh computers are not available. Authors using Macintosh must ensure that their presentation operates correctly using Microsoft Office 2016 or Adobe Acrobat in the Windows environment.

A wise guideline for the number of sheets in your presentation is 1.0 to 1.5 minute per slide. This means the expected number of sheets in the oral presentation should be 10 to 15 for orals of 15 minutes, depending on the density of information per sheet.

Keep in mind that you will be giving your presentiation a relatively large room, so adapt the font size accordingly.

Please arrive at least 10 minutes before the session start and introduce yourself to the session chair before the start of the session.

MEDSI contributions are registered with a JACoW ID number. This code corresponds to the time of each contribution through the oral and poster sessions slots and indicates the Day, Type, Location and Sequence Number.

Slides must be sized for an on-screen show of 16:9

Speakers are invited to the Preview Room to check the presentation. In the case that the presentation is not uploaded on SPMS, it has to be copied manually on the preview computer preferably the day before and at least 2 hours before the start of the session. Only the following storage device is accepted: USB Flash memory.

Speakers of the morning sessions should upload their presentation the day before.

The Preview room is located on the first floor, at the back of the auditorium Adenauer.
The entrance of the preview room is on the right side of the welcome desk.

Opening time of preview room:

Friday, June 29th: 8:30 am – 12:00 pm

Presentations must be provided in their final version. Speakers will be able to check their presentation in the preview room with some assistance if required.

The files downloaded in the preview room are automatically backed up and transferred to the conference rooms. Speakers will only have to click on their presentation on the computer at the speakers’ desk.

The software version used in the conference room is Microsoft PowerPoint 2016. Pdf format is allowed only if the “full screen mode” is used during the presentation. Authors using Macintosh must ensure that their presentation operates correctly in the Windows environment.

If your PowerPoint presentation includes videos:

  • They should preferably be in AVI or MP4 format. Use a standard codec.
  • The presentation and its related files should be in the same folder.
  • It is important to limit the size of your document. The use of high definition videos and images is not necessary for projection.
