DELEGATE INFORMATION LETTER – STAG HILL CAMPUS ACCOMMODATION.

 

Dear Delegate,

 

We look forward to welcoming you to the University of Surrey.

Please take a moment to go through the below information. It includes details about your accommodation and nearby facilities.

 

Key Collection

Keys will be available for collection from 3pm.

Keys will be available to collect from Battersea Court Reception.

If the Court Reception is closed, then please collect your keys from Student Services (where there will be a phone to call security who will come and meet you).

On the day of your departure please check-out of the room by 9am and hand your key back to Court Reception or Security Office if closed.

 

 

Court Reception Opening Hours

The Court Reception for your residence is: Battersea Court Reception

 

Monday – Friday: 08:00 – 23:00

Saturday: 8:00 – 12:00, 18:00 – 23:00

Sunday: 18:00 – 23:00

 

If delegates arrive outside the above times, then keys can be collected by using the phone in Student Services (opposite the Hive), to call security who will meet said guest with their keys.

 

Delegates arriving on Sunday the 1st of September between 17:00 and 20:00 will be able to collect their keys at the Conference reception in Wates House.

Delegates arriving on Sunday the 1st of September before 15:00 should contact efb24@surrey.ac.uk in advance if they want to discuss possibility of storing their luggage at the Department of Physics. Unfortunately, no luggage storage facilities are available on campus.

 

 

Car Parking

Parking is permitted in the main car park only and the permit that you have been sent must be displayed in the windscreen, failure to do this may result in a parking fine.

If you do not have a parking permit, then parking is available in the pay and display car park on campus or in any Guildford council car park.

 

Housekeeping

Housekeeping will enter your room and clean during your stay. Please note that there is no cleaning service at the weekend.

Toiletries will be provided in your room on arrival.

Please note that unfortunately we cannot offer any extra blankets or pillows.

 

Breakfast and dinner

Breakfast is included in your accommodation package. It will be available in the Hillside Restaurant.

 

Accommodation facilities

Wi-Fi is provided in your conference accommodation. Please connect to this by using the instructions that can be found on the side of the router, this will be found plugged in to the wall within the residence.

Unfortunately, we do not supply hairdryers and we do not stock adaptors.

Bed linen, towels, tea/coffee are provided. A kettle, iron, ironing board, fridge and microwave are located in a nearby communal kitchen.

 

Smoking

Please be aware that smoking is permitted in designated smoking shelters only. Please refer to the notice board within the accommodation for the location of these.

 

Queries and emergencies

Any queries during your stay can be directed to the Court Reception, contact number 01483 689078.

During court reception closure hours please call 01483 682002 24/7.

For all emergencies at any time of day, please call security on 01483 683333. This includes requests for emergency services as security will be able to provide immediate assistance and direct the emergency services to your location on campus.

 

If you lose your key during your stay, please report to your court reception (or security office if court reception closed).

At court reception you will be issued a replacement key. Please note that security will only let you in to the room and you will need to collect a new key at the next available opportunity from the court reception.

 

Security and personal property

The University accepts no liability for loss or damage to property or vehicles and their contents, nor for injury to visitors to the campus except where required by law. Please lock your bedroom door and shut windows when leaving.

 

Nearby facilities

On Stag Hill campus, we have the following catering outlets:

Hillside Restaurant and Starbucks (Oak House)

Wates House

There is also a convenience store, Simply Fresh, located in the library building.

There are ATM’s on campus, located at the Students Union, in the Simply Fresh Shop (Library and Learning Centre) and at Santander Bank.

Tesco superstore is open 24 hours (Mon-Sat) and is within a 15-minute walk of the University campus.

 

Visitors with additional needs

To ensure your visit is as comfortable as possible, please contact the conference office on 01483 686767 for advice on the best access routes, parking and other facilities.

 

 

 

We will provide a number of rooms on campus at a discounted rate of £40/night including breakfast. This offer will be available until 27th May and it should be paid for together with the registration fees via University of Surrey Online Store. After this date, participants will have to find their own accommodation and, if they wish to, can still remain on campus by booking directly through the University of Surrey accommodation office at a higher price.

Off campus, a range of hotels and B&Bs is available in Guildford within easy walking distance of the university, the current lowest price range from ~£70/person/day. More typical prices are around £100-120/person/day including breakfast. In Guildford, early booking is highly advisable. Some participants may be interested to stay in London during the conference. This is possible as many train services connect Guildford with London, the fastest ones taking just 35-40 minutes from Waterloo station and current return ticket price is about £25.  Hotels in nearby towns of Woking and Godalming (both 10 minutes by train) could also be considered.
