How to book a room in Indico Hello and welcome, I am ... and will guide you through a tutorial on how to book a room in Indico, prepared by Catarina Vieira. To book a room Go to the Indico Room Booking page. In the booking area choose the kind of booking, date and time range you want. Then click on search. You will see the list of rooms available according to your request. Use the filter banner if you want to apply some selection criteria like equipment or capacity. Don’t forget to click on apply otherwise your criteria will not be taken into consideration. You will see the list of candidate rooms . Some of them can only be pre-booked, as they require owner’s approval. We shall use the term ‘book’ in this tutorial, even for the rooms that can only be pre-booked, at first. If you want to book a room, place your mouse over the picture of the room and select book a room or pre-book a room. There you will find information about the room such as capacity and size. To finalise the booking, you have to fill in the Usage section mentioning whether you are doing the booking for yourself or someone else and explaining for what purpose you are booking this room. If you want to view room details, place your mouse over the picture of the room and select view room details. You will find information such as room size, capacity and phone number. If you click on the button “book it”, you will be directed to the book a room or pre-book a room window. Complete just like we have seen before. If you select add to favourites the room will be placed in your favourites’ list. For your next booking, you could find all your favourite rooms by selecting this option in the filters’ menu or ticking the box “search only my favourites” in the booking area of the first page . Searching and Booking To search for an available room based on more specific criteria go to “list of rooms”. Use the filter banner if you want to apply some selection criteria like equipment or capacity. Don’t forget to click on “apply”! If you want to see only the rooms you are authorised to book or your favourites, click on “Show only” and select your criteria. You will see the list of candidate rooms. Place your mouse over the picture of the room which interests you and click on “see details” for more details about the room. There you can also Start booking and you will be directed to the page that allows you to book the room. Complete just like we have seen before. If you choose a room which is already booked you will see a window with an error message and you will not be able to make your booking. To solve this problem, you have two options: Either go to the previous page and choose another room according to your criteria. Or change the date and time for your booking. If you are making a daily booking and the room you choose is not available for one or more days you will see a warning message: If you decide to book this room anyway you will be directed to the booking page. You will see another warning message telling you the number of your occurrences which are in conflict with existing bookings. To finalise your booking you will have to check the box “I understand, please skip any days with conflicting occurrences”. It means that you will have to find another room for the days in conflict. View all the bookings You can also view all the bookings made by everybody for all the rooms clicking on Bookings Use the filter banner if you want to apply some selection criteria like equipment or capacity. Don’t forget to click on “apply”! If you want to see only the rooms you are authorised to book or your favourites click on “Show only” and select your criteria. You will see the list of candidate rooms. This option can help you to do a last minute room booking or to solve a booking conflict. You can see easily the name of the colleagues who booked the rooms and send them an email to try to find a solution for the conflict if you really need this room and no other satisfies your criteria. Note that when you place your mouse on the grey horizontal line of a given room you have the possibility to directly place a booking by using the TIP to click and drag on the room’s timeline.
