Iteration on Leader and Insititute Representatives 20m
Speakers: Seungbin Park, Yulei Zhang (University of Washington (US)), Zachary Baldwin (Carnegie Mellon University)

The A3D3 Trainee Union Leader position will rotate once per year.

      • The leader is primarily responsible for organizing the A3D3 All-Hands Meeting and supporting other A3D3 trainee-related activities.
      • The role includes facilitating communication among trainees and assisting with event organization.

Institute Representatives do not need a formal iteration process.

      • Representatives can transition their role to a new person at their discretion.
      • The role mainly involves encouraging participation in A3D3 activities within their institute and assisting the leader when needed.
      • The responsibility is light and should not require significant time or effort.

      Action Items:

      • New Leader: Zachary has taken on the role of a new leader.
      • Second Leader Search:
        • We are looking for one more leader to join Zachary.
        • Zachary will send an email to the group calling for self-nominations.
    • 12:50 13:10
      Discussion of Next A3D3 All-Hands Meeting 20m
Speakers: Seungbin Park, Yulei Zhang (University of Washington (US))

      Input from A3D3 Trainees:

      • We are seeking input from trainees regarding the timing, format, and location of the next A3D3 All-Hands Meeting.
      • The meeting can be a standalone event or be attached to an existing conference for better in-person participation.

      Standalone vs. Attached Meeting:

      • A one-day standalone meeting may not attract many in-person attendees.
      • A longer 3-day format was suggested, but the final decision should come from a broader discussion among trainees.
      • it is not an individual decision, and we should consult everyone here before finalizing any plans.

      Possible Locations & Timing:

      • CAPD 2025 (Nov 18-22, Tennessee)
      • CIPANP 2025 (June 8-14 in Madison, Wisconsin) is a strong option.
        • This year’s CIPANP conference has been expanded to include topics highly relevant to A3D3 (HEP/MMA).
        • The A3D3 All-Hands Meeting could be scheduled right before or after this event.
      • PEARC25 (July 20-24, Ohio) is another possibility.
      • Other options are also considered.
