Prepatory draft minutes (to be compiled and cleaned durind the meeting session)

General agenda of recurrent meetings presented:

Planning:

Integration: (detailed follow-up at the dedicated monday meeting)

o   Cable trays to be lowered at the level of separation door: not yet defined to be re-discussed at the integration meeting.
Probably solved. Still open and to be confirmed by Alejandro (CV). (action: HL coordination)

o   Flexwell cables: very fragile, HL asks to install as late as possible and after to protect with a cover. To be discussed later,
Diogo is studying the planning (proposal: keep for next follow up meeting)
Diogo to finalize the check of the design of the cable trays.
The campaigns are scheduled; the dates will be adapted to the works in the URs.
Joao will confirm that RF is going to purchase and install the patch panels.
This activity can be prepared at \study level and kept as a wild card activity.

Activity scheduled at end 2027, closed. Integration to be reviewd at the level of the UA (action: Diogo)..

o   Change in UPS size and proposed change in layout to be integrated and modifications required at the level of the hardware to be validated/integrated prior to execution. Integration done. Change in supporting structure will be done by EN-ACE under gluidelines of EN-EL (confirmed for point 1 and to be confirmed for point 5).
Closed, activity ongoing and under control

Power distribution:

o   EL to confirm the delivery dates of UPS and CPS, and to promptly report in case of delays, as the installation and commissioning dates have been booked in the planning 

CPS: delivery confirmed, works scheduled.

UPS delivered but some internal elements still pending (insulating transofrmers expected by mid september, delivery of battery still unknown). 
Delivery dates of batteries still pending. Check with TE-CRG if they need UPS in October.
Check if at P1 the UPS ca be installed in UR15 (support not installed) and US17 (support already installed) (Action Dimitrios)
Check if at P1 the installation area in SD17 and SHM17 can be freed by TE-CRG (action: HL coordination)

o   Electrical lockout: EL has recently received some last-minute request for lockout, but MO personnel could not be available with a short notice.
The other groups need to be reminded that a lockout shall be requested with notice and shall be inserted in the IMPACT (action: HL cooridnation).

o   Planning dismantling before decabling: today expected to start in wk 44 at P1, but it could be modified, most probably anticipated (the variability could be up to 1 week)

o   Preparation of the core works: possible to anticipate the works of uspply of the worksites, posisble benefit to shave the Comsa's peaks in the workload

In case of load transfer in the 18 kV substations that could potentially impact HL, dates to be communicated to HL coordination to avoid criticla operations in the same moment (e.g. SEM 11, Dimitrios to check with Mickael)

DC cabling:

o   Readiness of material: HL asks a status of the readiness and the procurement plan, to see if there are possible optimization or anticipation to the planning that can be proposed, as for WP6B some works related to the installation of the CDBs and power converters racks might be advanced as it is the case in L1 

We miss Class 5 cables (300 mm2) for 11 links, the supplier annonce wk 42 but it was already postponed, to be double checked.
Installation of metallic structures in 1L done, WCC inserted in 1L. All material needed for all other points seems to be available including clamps. It would be useful to have a list of components readiness.
General request of HL for the material of the full scope WP17 DC cables: all material must be ordered with the required notice, and the subcontracted material to CERN groups (MME, ACE) must be monitored as the priority for them is elsewhere

o   Status of procurement of class 6 cables.

DO done, company selected, DAI in the hand of purchasing service. Delivery not yet confirmed, problems on procurement of raw material encountered. The supplier proposed to provide a first batch. EN-EL-CS to chekc how much could be provided to then adapt installation schedule.
Unfortunately no indication of delivery dates. IPT involved in the discussions with the supplier. No pre-series has been requested as Druseit got the contract.

New: contribution of Flohe 

o   Cables for WCC temperature monitoring: integration Ok, missing the DIC to be launched 
Closed, EL-CS DC cables prepared, it will be integrate din the upcoming cabling campaigns

o   Insertion of WCC on CDB: probably Flohe will perform the heavy work, to be clarifed. Presentation tp be prepared on this subject at a next HLTCM
Closed, followed-up duirng the coordination meetings

 

Decabling: no specific points to discuss

o   EL, HL and Comsa have identified some resources that could be made available (2 per time) to anticipate with short notice part of the decabling works before the double shift

 

Optical fibres: no specific points to discuss

Cabling:

o Cable CLIQ could be patched

    • A mockup wil be built with 6 connections to be tested and validated. Samples have been delivered to MPT for testing. Diogo will participate tothe testing planned by mid-august. EN-EL-CS will also plan some mechanicla test.
      OK, MPT confirmed that the cables can be patched.
    • The document for the installation fo the new galleries segments can be prepared and be considered as wild card for ressourses alignment.
    • If cables will be available and Comsa can assign resources, it could be possible to schedule part of the activities of P1 in wk 44 and wk 45, with the target not to finish later than wk 45 (to avoid overlap with the works of the cores). For P5 the dates are later.

 

o  TE-CRG added cables for heaters for the RF cryomodules; the heat dissipation in the cores should be checked.
HL coordination will contact TE-CRG to technically assess the operation of the heaters and if there is a real problem.
EL will be requested to perform the analysis only of this is confirmed.

o New DIC from CRG shared for point 5 but the DIC for point 1 is not yet received and the announced EN-EL-CS dealine is set to mid september 2026.. EN-EL-CS is working on impact and implementation.
LSS5L received and integrated, no impact on the space occupation (impact on type and quantity of cables). LSS5R ongoing.
LSS1 other impacts as some cables are already installed, a “repairing” campaign could be required, an ECR could be necessary to track this additional slot in the planning.
Some other modifications and inconsistency of the DIC files have been identified, a meeting between EL and TE-CRG (Marco Pezzetti) will be organized.

o   Progress report: The application developped by Diogo and presented at the TCC is operationa and extremely usefull for the follow-up of cabling activities for HL. A meeting will be organised to review if there are changes/improvements to be implemente. Week 32.
Closed, the report is very good and ok for HL coordination

o   HL asks to get visibility on the cable availability Vs. the cabling campaigns, and to be notified with notice if some material is late. As the framework is complex (many stakeholders including manufacturers, CERN Store, EL logistic manager, EL cabling team) EL is working on a new application to improve the visibility on the procurement.

An app as been developped to follow the follow-up of cable availability and procurement. It is under evaluation between EN-EL and CERN store. Work in progress.

o   Progress report on handover to users and acceptance of cables: The new app allows the status follow-up by each user. Planned in september to recall users they have n weeks for approve de deliverable, otherwise the approval will be forced. 
Closed. Reminder done the 3rd September, the users are informed that they will received a notification by e-mail and they have access to the app to review, comment, or approve, with an automatic approval if no comments are inserted after 3 months.

o   CC35 (double shift) and CC45. Towards completion of the scope. Issue with TC3 cable to be reconsidered. Fixation of cables in ULs and UAs duly planned and will be done in the coming weeks.
Connections and tests delayed, anyway COMSA assigned new resources to progress.
Possibility to use the same teams of CC35 to do some decabling of UAs foreseen in 2027 (to be confirmed by HL coordination).

o   Harting connectors found non conform (bad assembly). Correction to be completed before wk 45 (2 weeks of work expectable).

o   Additional rack space in UA17/UA13 to cope with additional space requirements asked by TE-VSC in the patch panel racks. Two plans under study a)vertical extensio b) additional side rack to be installed after core drilling. Point 5 problem has been anticipated.

o   Additional hours for Comsa due to worksite unavailability: WU communicate to Diogo where to upload extra costs. HL asks to be informed as soon as a new requestwill be issued.

o   NEW: double shift in september: The cables for TE-CRG have been implemented in this exercice. 3 weeks in single shift and 3 weeks in double shift on the same nature of works. This approach will allow camparing the two way of working. IT is requested to implement, once known, the two periods in the HL coordination daily calendar.
At the end of the work in September, a short report will be porduced to assess the differences.
