ASP2026 IOC+LOC Meeting

1. Event date
   • We agreed on July 5-19, 2026
   • July 6-10 teachers training or high school outreach
   • July 13-17 high school outreach or teachers training
   • LOC will discuss and tell us which weeks they want to have teachers program vs the high school program
   • ASP Forum to engage with policymakers will be on Saturday July 11 just before the school dinner. The LOC will check if that date is good to have policymakers present.
2. Student applications
   • With the agreement on the school date, we will open the student application process through the ICTP platform. An application package include:
     • CV
     • At least one letter of recommendation from student academic advisor or Head of Department authorizing and recommending the student to attend the school
     • All university transcripts
     • All university diploma
   • The application period will be open for 3 months until early January 2026. At the end of the application period, a selection committee will review and select students according to budget
   • All participating students (local or international) are expected to have applied and selected, and attend the school for the entire period.
3. Poster
   • The LOC will work on the poster and present a draft at the next meeting. We suggest a professional design. IOC will send to the LOC the relevant logos to be used for the poster.
   • We may solicit the services of professional designers in finalizing the poster
4. Scientific program
   • We agreed to postpone the discussion on the scientific program to a later meeting
   • Ultimately, the program must include the scientific interests of Kenya as well as that of international students and stakeholders.
5. Next meeting
   • We will set a poll to decide on the next meeting date towards end of October or early November
   • In doing so, we will need to decide on a regular (bi-weekly or monthly) meeting date.
