ASFAP C.E Admin Group Meeting Minutes

The meeting started at 12:48; only two co-conveners attended, Prof Ndeye Arame Boye Faye and Dr Marie Clementine Nibamureke.

Marie Clementine presented a short report of the ASFAP convener's monthly meeting on the 13th and 27th of April where ASFAP conveners were reminded about the call for LOIs which is still open and the call to submit contributions to the ACP March 2021 Conference Proceedings. During the meeting, conveners were also reminded to start discussing the different submitted LOIs related to their specific working groups.

On today's C.E Admin meeting's agenda were two important points, discuss some of the LOIs of interest to the C.E group and organise a mini-workshop to advertise our group. As only two co-conveners were present, it was agreed that Marie Clementine will download and forward the pdf booklet of all LOIs and send it to all the co-conveners so that each one can go through the document and make a list of LOIs of interest to the C.E group. The following activities are planned for the next meetings (in May; June, July 2022):

  1. Compare co-conveners lists of LOIs, discuss and make a final list of LOIs of interest to the C.E group.
  2. Contact other W.Gs interested in the same LOIs and discuss the way forward (possible collaboration) concerning the LOIs of common interest.
  3. Discuss possible dates for meetings with other WGs and invite the LOIs authors to present their ideas to all the co-conveners of the concerned WGs.
  4. Development of white papers from the chosen LOIs

Regarding the planning of a mini-workshop for the C.E group, it was agreed that Marie Clementine will draft a proposal (title, content, possible guests & panellists) and send it to the co-conveners to review, comment and discuss. After agreeing on the proposal, it will be presented to the whole C.E group and advisors for discussion and final planning. Another option for the mini-workshop is to participate in the series of workshops which are being organised by the ASFAP Young Physicists Forum. This option will be discussed in the next meeting.
