      Minutes of Softball Club All-Purpose Annual Meeting 2023

      Softball Club APGM

      Held at CERN Meyrin, room 53/R-044 and via Zoom

       

      Present: Rachel M., Coleman N., Madhukhar, Bennett, Daniel P., John A. and via Zoom: Andre H., Gary S. and Miguel R.

      • Activities in 2019, 2020, 2021 and 2022
        • A full season of softball games in 2019 as part of the Geneva Softball League.  The number of teams in the GSL was four (CERN Colliders, Nicas, Buenavista(BV) and Mission), and games including the finals were held at the Centre Sportif de Vessy (GE).
        • A short season was held in 2020, from end June to August, with three active GSL teams, but good spirits and significant participation.  An early end of the season, due to increased reports of Covid in members of the family of players of other teams - games after 14 August cancelled.
        • The 2021 season was hampered by reduced number of available Sundays at Vessy.
        • The 2022 season started late with several games held at the Mission field in Bellevue, returning after many years, and a few at Vessy.  The field at CERN Prevessin was used for a squad practice and BBQ in June, and was obtained for games in August/September. But the initial three teams were reduced to two during the second half of the 2022 season (Colliders and Buenavista). A social evening with bowling and dinner in the Autumn at Bowling Balexert was well attended.
      • Accounting for 2019, 2020, 2021 and 2022
        • The preliminary accounts for 2019, 2020, 2021 and 2022 were presented and the few significant items discussed. 
          • The loss of uniforms ordered in 2018 and paid in 2019 during transport was reported: delivery at CERN Prevessin was attempted, but no one was found to accept and sign for the package (the delivery company did not attempt to contact anyone by telephone.) The package was returned to Hungary. We contacted both the original supplier (who did not respond) and the delivery company which did not accept to reattempt delivery unless the original supplier agreed. This resulted in the loss of the uniforms for which we had paid 3762 CHF.
          • The club did not collect membership fees in 2019, as the fees collected in 2018 were sufficient for operations, and in the pandemic hit shortened seasons of 2020, 2021 and 2022 since few games/activities were held.
          • The preliminary accounts for 2019, 2020, 2021 and 2022 will be finalised, circulated to Club members, published on the club website, inspected for verification and presented to the CCC in the near future.
      • Activities in 2022
      • Elections of club officers. The roles of president, treasurer, secretary explained. Agreed to have vice-president.
        • Election of President: John Apostolakis (10 for) elected
        • Election of Secretary: Andre Henriques (9 for; 1 abstention), elected;
        • Election of Treasurer: Coleman Nee (10 for), elected;
        • Election of Vice-President: Andre Henriques (10 for) elected.
      • Activites for 2023
        • A short visit of CERN featuring the SC visit point and the birthplace of the World Wide Web has held prior to the APGM.
        • Plan to participate in games of Geneva Softball League in 2023 - and help to regrow the league which has seen the number of teams and attendance diminish over the last three years. The challenge is the need to replace the main venue for our and GSL softball of the combined softball/baseball field at Vessy which will be converted to football-only use in May 2023. Vessy will be available for GSL games only on 2 and 23 April.
        • Prepare Softball part of joint Softball/Cricket field at CERN Prevessin as home field for Colliders team.  Schedule work days first to fill holes, add organic material to sustain grass in early April; second to roll the field in late April/early May (seeking damp field.)
        • Road games: investigate games against Lausanne team, and potential visit to Basel to play friendly games against teams in new local league.
        • Investigate holding mini-tournaments at Prevessin inviting teams from the Suisse Romand.
        • Seek to hold regular practices with most participation. Will try to find the days / venues with best attendance.  Potential venues: park near WTO, Trembley, CERN Prevessin. Vessy/Bout-du-Monde is mostly rejected for weekday evenings; Saturday afternoon may be an option.
      • Obtaining new gear, uniforms and restocking perishables
        • Agreed to purchase 2 new composite bats, and 3 aluminium bats with a tentative budget ceiling of 800.- CHF, since the current stock are now well worn after use over about 8 years.
        • Agreed to collectively order team uniforms, for purchase by team members. A small number of additional uniforms will be obtained to allow future members to purchase. Will prioritise using a supplier which can be relied upon.
        • Agreed to purchase a small number of softball gloves, to allow new players to use and potentially purchase from the club. Around 2-3 for right handed players and 1 for left handed players (i.e. 2-3 left gloves and 1 right hand glove.)
      • Club membership Fee for 2023
        • Agreed to reinstate the membership fees at the same level: 40.- CHF for ‘regular’ players, with a reduced fee of 20.- CHF for students and those between jobs.

       

      Meeting ended at 08:55 CET
