This first meeting was organised in 2 meetings, one in the morning and one in the afternoon. Next meetings will be organised to regroup everyone at the same time.

Main points of discussion:
- Regarding the dismantling, items should be categorised in 3 categories:
- Items that will not be re-used à baseline assumption is that they will go to waste
- Items that will be re-used in their current state à to be stored safely
- Items that could be re-used but needs modifications à to be stored in a place that allows access to the item
- Ownership of the girders should be clarified to decide who will take care of finding storage space. In addition, only girders that could be re-used for Run 2c should be kept.
- Question: does it make sense to keep them all ? à to be discussed more in depth
- Regarding storage space:
- The idea to use space along the TT41 magnet line and below the magnets was mentioned
- This could be feasible in theory, if the items stored do not have additional fire risks or chemical risk
- It is also important to note that this area would not be accessible during CNGS dismantling
- Action à Eloïse will look how much would be available in TT41
- Action à Eloïse and Ans will discuss the feasibility of using TT41 and rules that would apply if feasible.
- Steffen and Stefano mentioned the idea of using the ex-CTF area (next to CLEAR) to store some Awake items
- Action à Ans/Edda will contact Roberto Corsini to find out if it would be possible to use the ex-CTF area
- It was also mentioned that the Awake control room could be used to store light items (limitation of weight due to the false floor), and the racks in the ACC could also be used to store some electronics (for example the ones coming from the streak room)
- Action à Eloïse will check how much space would be available in ACC
- Ben asked if we could use the IST ring as storage answer à the initial answer is no, because the IST ring is mostly reserved for items that will be treated as waste, they do make exceptions for some specific items, but will most likely not agree to store Awake equipment
- Regarding the TT43 electron line: this line could stay in place but would need to be fully disconnected
- However, it was mentioned any dismantling work not done before CNGS dismantling will need to happen before Run 2c install à if storage space is found for the magnets and their supports it could be worth it to remove them from TT43
- Regarding BI equipment:
- Stefano mentioned that in their current budget they assumed no budget needed for current instrumentation (meaning no budget for cabling and girders)
- Largest BI equipment à BTV, without support = 0.4*0.4*0.4m
- Quick oral estimation was made by Ben and Stefano: the beamline instruments (BTVs and BPMs, and their supports) would fit into ~10 pallets (80*100cm)
- Tom Levens would like to take out the BTCF (located on the common line, just before the merging point, so it does not necessarily needs to be dismantled) because there is a non-conformity on the equipment, and this would be the opportunity for him to fix it à ok on Awake side, it would be even better if he can then store it at least until the end of CNGS dismantling
- NB: The BCTF will be radioactive à needs to be fixed in a lab/space classified at least Supervised area
- Regarding Run 2c:
- Stefano mentioned that it would be good to have more precise information on the layout, especially the expected beamline height in TCC4-CNGS
- Quick check shows that beamline height is expected to be around 1.8m
- Action à Ans/Eloïse will check more in details the beamline height
- Regarding vacuum equipment:
- The main question was to know if each CP should take care of vacuum equipment linked to its CP, or if this should be handled by vacuum representative
- Action à Eloïse will contact the vacuum representative to discuss the AWAKE dismantling with him, and will also invite him to the next meetings
- Regarding the electron gun:
- Steffen mentioned that he would like to keep as one assembly the electron injector and the LINAC part on the flat part of TCV4, as this mechanical unit is delicate
- Steffen also mentioned that on the bunker walls there are some water line and EL coffret attached
- Action à Eloïse will go on-site to check which services are attached to the wall
- Regarding MPP equipment:
- Michele asked if it would be possible to keep the vapor source inside the Awake area to avoid transport
- Ideally no, as this is a quite delicate equipment, it is preferable to find a storage space
- Eloïse mentioned that a clean-up campaign of EHN1 area should be organised to make more room for MPP equipment that will be dismantled
- Michele asked if the galden piping that goes from the chiller area along the ceiling to the upstream vapor source should be dismantled:
- Not necessarily, but if the task is not too long, the advice is to dismantle it rather sooner than later as this will need to be done anyway.
- Actions à MPP/WDL/Eloïse discuss about the need/possibility to dismantle the galden piping
- Steffen asked if we should foresee an FSU team for the dismantling, especially as part of the dismantling will take place during the EYETS 24/25, hence resource will be scarce
- Regarding decabling:
- Cables that will be removed as part of the decabling campaign will be treated as waste. Hence, we have to decide if there are cables that we would like to keep (but keep in mind that this might not be feasible depending on the location of the cable)
- We also have to decide what we do with cables pulled by the project (and not EN-EL), we can either include them in the decabling campaign, or remove them ourselves if we want to keep them
- It was agreed that everyone will start filling the excel spreadsheet for the inventory of equipment for the dismantling for the next meeting on 19/12 (at least all big equipment, this will include main dimensions, weight, and surface needed for storage (this info can be estimated)
Summary of actions:
- For everyone: fill the inventory excel spreadsheet with all their main equipment with dimensions, weight, surface for storage (pallets/boxes)
- Eloïse will look how much would be available in TT41
- Eloïse and Ans will discuss the feasibility of using TT41 and rules that would apply if feasible.
- Ans/Edda will contact Roberto Corsini to find out if it would be possible to use the ex-CTF area
- Eloïse will check how much space would be available in ACC
- Ans/Eloïse will check more in details the beamline height
- Eloïse will contact the vacuum representative to discuss the AWAKE dismantling with him, and will also invite him to the next meetings
- MPP/WDL/Eloïse discuss about the need/possibility to dismantle the galden piping
