Notes for post-mortem meeting european HTC workshop 2024 Amsterdam
Participants: Helge, Todd, Mary, Michel, Cole, Vanessa (not sure if I forgot anyone here)
First of all – the workshop was a great success - big thanks go to Mary and the team at NIKHEF !
Some unsorted notes are here:
- There were more ‚beginners‘ at the workshop than in previous years, for them it was a bit non-optimal to have the town hall discussion on tuesday but …
- Attendance overall very stable
- The pass-around-the-mic session was well received and useful, took longer than expected but time pressure might have lad people to only talk shortly, giving principal information about them without time-wasting
- Some of the INDICO automatic send mails (especially those on abstract submission) were including faulty/old links because we did not completely go through the copied event, need to be more precise next time
- Office hours were more in demand this year, this was in hindsight foreseeable because of the EL9 migration most sites went through
- Partly the time keeping could have been stricter, some people never stick to the time frame and should be cut off after a small time buffer
- All talks should be announced by an abstract, especially sponsor talks need to undergo the same procedure to make sure they are relevant. Sponsoring should not lead automatically to a slot
- The social events were splendid, Helge (and maybe others) would have liked to check in the hotel for a moment in between the conference and the event but would have been difficult to organize
- We tend to start non punctual in the morning and should make the first break of the day 5 min longer in order to be able to compensate that
- Some people need their institutes VAT on the invoice, we should ask for it in the registration (optional)
- We had 10 (?) prep meetings for this workshop and fewer would do if the co-chairs and the local organizer take some decisions more in the background. Sponsors and local user schooling delayed some decisions this time which was no problem but did also lead to more meetings.
- In MW HTC week one block of the conference is open for users, this could be a good concept to copy in case we are meeting in a place with a lot of end-users
- We have two more possible candidates for future meetings → Leuwen in Belgium and Bonn in Germany

I will invite yout to a first prep-meeting for HTC25 in Prague in march 2025 I suppose :D
