• best time window
  • currently autumn ( needs to be more specific to reserve rooms)
• scale and character of the event
  • number of expected participants (first indication 150 -200)
  • duration ( X days )
• character of the event: plenary only, plenary + parallel sessions
• how to get a conference chair and a program committee
• who will serve as the local organisers?
• are proceedings expected and who will be responsible to organise the collection of the material and the review process?
  • if yes, CERN Note or publisher (expensive and painful)
• required resources
  • rooms
  • human effort
  • financial costs
• risk for CERN and who covers it
  • formal role of CERN

Some first, but concrete, information will help to get commitment from the management.
