James draft of skeleton press release currently with DG and spokesman.
It won’t contain the word ‘hints.’ The final version will be ready on Monday morning. Release to go out early afternoon Tuesday, simultaneous with seminar because of print deadlines. Aim for 15.20.
James has also written a second document which is now with Rolf, Sergio and Fabio for approval – a simpler version of the text for SPC on what it means if no Higgs.
Press office already has interview requests under embargo from the press before 15h20 Tuesday. A rare few are valid requests (Tokyo University (to make newspaper deadline for Wednesday) and Nature news) are likely to be accepted.
There will be requests from the media for interviews within the experiment’s control centres on the Meyrin site. This is likely to start on Monday.
BBC to arrive on Monday afternoon. To date, for Tuesday, there are 15 journalists so far signed up, from 10 media organisations. This is just the beginning. The list will be circulated to LOG members on Monday, when accreditation closes.
The press office has tried to deter participants, by telling them there will be no discovery.
Open requests from the press office (Sophie)
Need a list of people who would be available for interview before and after the event from all 4 experiments. The press office will manage all interview requests and will contact the physicists directly.
Would like physicists in building 222 during the seminar – to answer questions during the retransmission for journalists, demystifying the jargon. Could be partially solved by a FAQ sheet?
All journalists must stay in the media centre during the seminar.
There is a hashtag for journalists asking questions during the seminar and the press office will be responding live. #HiggsUpdate
Request for event displays – so correct displays can be given to journalists, to avoid out of context images accompanying stories.
ATLAS will provide examples of gamma gamma events and 4 lepton events.
CMS will make available event displays of Higgs candidates animated and static.
Static images should not be available to the press before 15.20. But they can go onto CDS restricted before, restriction to be lifted at release of the press release.
Deadline : Monday noon at the latest for VNR preparation. Corinne to send video format to log members.
The press office agrees to use the picture captions supplied by the experiments (there is some sensitivity to the use of the word “candidate”).
Stand up position in building 40 for both after and before seminar.
Some countries will relay information locally to the press, involving local scientists.
After seminar, current planning forsees closed session of SPC between 16.00 and 16.30 with the DG and the spokes, followed by Press conf at 16.30. Open question what to do with journalists during this time. James will try to switch press conference and SPC. If this doesn’t work, press interviews in building 40 during the gap before the press conf. Meet up with physicists in 222 and walk to building 40.
Animation on Higgs ready for Monday (Rolf). 1 version with subtitles, 1 without subtitles.
ATLAS and CMS to provide links to their relevant published material to be included into the press release.
