  1. Mounia contacted the the secretaries of the 4 major LHC experiments to request announcements of the workshop to their communities. Kétévi contacted the CERN theory group to do a similar announcement of LHC lists.
  2. The workshop website (Indico) should be advertised on INSPIRE. Soeb agreed to do this and it is already done, inspirehep.net/conferences/3128715
  3. Some registered participants will need invitation letters from CERN to apply for Schengen visa. We ask that Anne looks into this. 
  4. Soeb reiterated that we should pay attention to geographical balance, female-to-male ratio, young-to-senior people ratio in the invited speakers. 
  5. We suggested that Anne follows up with the CERN colloquium committee about organizing a CERN colloquium during our event on a topic related to our event. We can help identify the speaker. This colloquium is currently planned for Thursday October 8 at 16:00.
  6. We asked Diallo to re-organize the agenda of Friday October 9 by adding 2 summary talks (of 40-45 min each, theory and experiment). We may then discuss who should give these summary talks.
  7. Heba and Mustafa have some invited speaker suggestions that they will insert the scientific agenda of Diallo, Chilufya and Qinrui. Soeb has already done so. We encourage everyone to add their speaker suggestions before our next meeting.
  8. Golopang volunteered to re-structure the program in a format similar to Indico timetable.
  9. We agreed to re-srtructure the agenda a bit by clearly making separate sessions on High Energy Colliders, Low Energy Colliders, Indirect or Direct Detection, etc. Also pointing out which talks to be expected from the experiments where we may need to approach their speakers committees. 
  10. Our next meeting will be March 26. Before then, we would like to have everyone's suggestions for speakers in the google document of the agenda.
