HL-LHC Integration Meeting – Minutes

Date: 13 March 2026
Topics: LSS1/5 installation drawings, HL-LHC tunnel tracing for LS3, integration of dump ancillaries.

Actions

  • Luca Gentini to upload on the Indico page an Excel list of all LSS1/LSS5 installation drawings for verification by equipment owners.
  • Eric Page to provide naming corrections for the drawings by end of March 2026.
  • Joao de Oliveira and Ricardo to perform Check 2, comparing beam points in the drawings with the Layout Database.
  • BE-GM to perform a global check of the drawings to verify all tracing data is implemented.
  • Equipment owners to perform the final validation of drawings and provide a digital signature for traceability.
  • Luca Gentini to investigate the PLM solution for drawing validation while preserving the link with the 3D models.
  • BE-GM to prepare and distribute an Excel template with tracing points for non-beam elements.
  • Equipment owners to provide equipment models requiring tracing to Stéphane Maridor.
  • Stéphane Maridor to compile tracing data, determine CSS coordinates, and upload Excel files in EDMS (one per LSS) for approval.
  • Equipment owners to validate the final tracing point lists of non-beam elements in EDMS.

Findings

LSS1 / LSS5 Installation Drawings (Luca Gentini)

  • The installation drawings are nearly finalized, with only a few updates remaining:
    • Integration of the latest DCM and DFX models.
    • Integration of the latest BPTQR model.
    • Implementation of naming corrections from Eric Page.
  • A three-step validation process will be applied:
      • Check 1: internal verification by Luca Gentini.
      • Check 2: comparison of beam points with the Layout Database by Joao de Oliveira and Ricardo, with a global review by BE-GM.
      • Check 3: final verification and digital approval by equipment owners.
  • For traceability of equipment owner validation, Luca is exploring three possible solutions (priority order):
      • PLM validation of drawings without requiring approval of the associated 3D models, maintaining a permanent link between models and drawings.
      • Creation of a dedicated 3D model container used only for drawing approval.
      • Approval of PDF drawings in EDMS.

HL-LHC Tunnel Tracing for LS3 (Anna-Sarah)

  • Anna-Sarah presented the status of tunnel tracing preparation for HL-LHC during LS3.
  • The key milestone is the validation of tracing points by equipment owners by June 2026 for both beam and non-beam elements.
  • Equipment owners are encouraged to anticipate their checks to ensure this deadline is met.

Process for Non-Beam Elements

  • BE-GM will distribute an Excel template with tracing point names for validation.
  • Equipment owners will provide equipment models to Stéphane Maridor.
  • The integration team (Stephane Maridor) will:
    • Compile the data from all equipment owners,
    • Project the points to the tunnel floor,
    • Determine coordinates with respect to the CSS reference system.
  • The consolidated data will be uploaded to EDMS for final approval by equipment owners (one Excel file per LSS).

Integration of Dump Ancillaries

  • Integration models for the HL-LHC dumps (UD62 and UD68) have been reviewed and integration uncertainties addressed.
  • Model references were shared with ACE.
  • Support cradles are in detailed design; completion expected by summer, with delivery planned for Q1 2027.
  • Top ducts design is progressing to the detailed phase; final details (flexible supports, anchoring, connections to cooling ducts) will be defined after site visits and measurements at the start of LS3.
  • The argon tank contract for detailed design, construction, and validation is about to be placed; the final design will be shared for review around July.
