Brief notes on yesterdays meeting of the preparatory working group on accelerator and experiment interface (29.5.2013)
================================================================================================
Present: Beniamino, Burkhard, Hannes, Antonello, Oliver, Lucio, Maria, Christoph. Apologies from Wolfram.

* Proposal from the preparatory group (PG) on the introductory talk "LHC upgrade overview" (1h) at the beginning of the workshop (Tuesday Oct 1):
2 separate talks,
-> one which includes general statements on the project and the support provided by CERN,
-> one more technical on the baseline HL-LHC and its parameters to set the scene for the workshop.
For the first talk (~30 min plus discussion), Freddy Bordry would be a candidate, for the second talk Oliver or Lucio are our candidates.

* Proposal from the PG for the agenda of the working group session (Thursday Oct 3):
-> talk on other (fancy) upgrade options and parameters, implications of machine upgrades for the experiment: TAS, TAN, triplets upgrades in the experimental areas, luminous regions. A possible candidate to present the issues is Stephane Fartoukh;
-> talk on beam instrumentation , machine-experiment interface in interaction region during the planning phase and operation phase, limitations imposed by accelerator design, failure scenarios. A candidate to present these issues is Helmuth Burckhard;
-> talk with overview of experiment upgrades (including timeline/luminosity line) when/which subdetector/system needs to be replaced, plans for experiments forward detectors and summary of experiment wishes for special HL-LHC running conditions (as high pile-up runs, low-lumi runs, low beta* runs, ion species...). The talk should help to synchronise shutdowns, help to check if baselines of LS2 and LS3 is fitting , help to find out best timing, including also constraints e.g. when to connect LINAC4. (The talk should in some way give a brief summary on the experiments introductory talk, focusing on requirements/timing.)
For the moment we did not discuss a candidate speaker (or two speakers?).

Comments:
* for luminous region... need close contact to PG "Tracking devices and associated electronics and readout" as parameters set constraints. The workshop session for this group is on Wednesday, so a bit unfortunate as the talk in our session can not prepare for the tracker discussion. Maybe re-arrange workshop agenda?
* for schedules/experiments upgrade need close contact to PG "Long Shutdown constraints and radiation and activation effects" to avoid double coverage of topics. However, the two sessions of the groups follow each other in the agenda, so topics can build on each other.
* we agreed that Stephane and Helmuth should be already included to the discussion/information flow of our preparatory group.

Next steps:
* Maria/Christoph to prepare PG report for the 10 June meeting (to which all members of the PG are invited). A draft of the report will be distributed to the PG in time and more details on the 10 June meeting will be distributed when available.
* PG to investigate concrete machine/experiment schedules and for the experiments: by what time what components need to be replaced/updated and how long each intervention requires.

More info:
* Oliver provided documents in which possible guidelines for upgrade scenarios are described and discussed, see attached material.
