Description

Room 31/2-029 to remain a meeting room AND be equipped for short video recordings.

Total budget estimate: 13.5K CHF maximum

All price quotations received are detailed and attached below.

  1. Price quotation (7.600CHF) and works' supervision by Loic Lavrut on the following:
    1. camera-fixed-on-the-wall (on the left, as we enter)
    2. modest-size-screen1 right on top of the camera for the free-of-charge teleprompter,
    3. modest-size-screen2 right under the camera for the slides or installation procedure that will be included in the recorded video
    4. a simple desktop computer to drive the screens' contents
  2. Other infrastructure contributions:
    1. appropriate lights for recording (1.800CHF)- Maria contacted Fabien Yvan Vincent (service electrique) See HERE price estimate. Final EDH Job order HERE. There will be one lamp on the side for the speaker and 2 on the ceiling with luminosity variation button. NB! There is an unknown switch on the wall that Maria suggested to maintain in the IT objects' archives. Discussion in CERN IT-Dep facebook and email.
    2. a 'flap' or cover for the ventilation box on top of the door to reduce the noise from the corridor and/or neighbour offices (500CHF)  - Maria contacted Florian Rostan. He gave an estimate of 500CHF but it must be confirmed in writing by the technician of the ventilation systems. The proposal is to change the opening as per THIS structure. In a planning meeting on 2017-07-25 we decided we need a true flap (volet) with a handle! Maria wrοte to Jean-Camille Yerly on the same day and discussed with F.Rostan on 2017-07-26. New proposal HERE.
    3. installation of an electronic lock on the door (850CHF), i.e. via the CERN access card to minimise the risk of theft. - Maria contacted Gregory Smith. SNOW request HERE. Offer HERE. EDH HERE.
    4. the move of the whiteboard to the wall under the clock - Florian Rostan will do this while painting.
  3. Print a huge poster in plastic (1.870CHF) with this (LHC & Universe) picture (appropriate for any CERN related recording (not only IT)). Dimensions: 3m large x 2m high. It will be fixed on the narrow wall, as we enter on the right, for the background of the wall behind the speaker (where the white-board currently is). Its lowest point towards the floor will be where the 1st vertical tile ends. It will be fixed on the 'column' (la poutre) which is 9cm deep. Maria met Sabine Luescher from company adnconcept (suggested by Fabienne Landua) Price estimate is attached. See the room with the poster installed HERE.
  4. Move of the wifi box from the wall where the poster will be to the wall towards the corridor - Maria asked Vincent Ducret who confirmed this will be free of charge for us. It will cost 50-60 CHF but CS group takes care of it. See new place here.
  5. Painting of the walls (702.32 euros) - Maria asked for a opened a SNOW ticket for the works here. The price estimate HERE by Florian Rostan is independent of the colour chosen (sauf RAL spécifique). All walls will be WHITE, finally. "Conference blue" not needed due to the huge blue poster (point 3 above). Recommended by Loic on 2017/08/21. Work order HERE.
  6. Furniture and other functional points:
    1. a cross on the floor where the speaker should sit.
    2. no change of chairs needed
    3. method of putting the poster up: Is it bad for the room acoustics if the holes on the current wall, behind the speaker are covered by the poster. This is why we shall 'pin' it on the little wooden frame on that wall, a few centimetres in front of the actual wall. It will be fixed just above the first 'wall tyle row' starting from the floor and up to the ceiling (2x3m²).

All above options were discussed between Maria Dimou, Loic Lavrut, Thomas Baron, Natalie Kane, Fabienne Landua and Melissa Gaillard. The background picture selected HERE (cern IT workplace announcement. Viewing requires CERN login).
