SM18 Meeting,  Tuesday 17 March 2020 - 15:00

Participants:  Salva, Marta, Gerard, Franco, Ioannis, Stathis, Bernardo,  Michal, Guillaume, Ruben, Maryline, Jerome, Olivier, Yacine.

 * The meeting started with the HEALTH report since the TF section has two potential second-generation cases (Bernardo and Paula).

Thankfully, both of them are ok without any symptoms. Moreover, potential cases of third-generation (Stathis, Marta, Michal, Ruben) are also fine!

*  A small update has been provided from all the participants about their future planned tasks.

As decided meetings are going to be performed whenever is needed and if it is possible on a regular basis every 2 or 3 days in order to keep things on track and move forward the section's projects in this  special period.

It is crucial to continue working with the same responsibility as before, resuming in such way some section activities. Starting by providing a brief report of our personal activities every Friday to Gerard.

* Ioannis is going to arrange another video call for tomorrow at the same time.

* Following Marta’s note please find hereby the main points:

1.  We will keep teleworking for the moment. Those with one authorized week of teleworking should also apply to EDH in order to extend it one more week.

2.  Each and everyone can and should organize him/herself following the assigned tasks accompanied by the necessary meetings with colleagues and the supervisors (remotely, Vidyo-wise).

3.  Each and everyone can organize him/herself for the most efficient and flexible schedule.

It is fully understood in this special case to cope also with this quarantine/telework side-effects, where it is advisable to “disconnect” yourself even for a day if needed.

IMPORTANT NOTE:
In such case this has to be registered in EDH accordingly :

The options are:

  1. I have no kids but I need one day off: regular absence
  2. I have kids and I need (part) time of my TW to help them in their scholarity from home: paid special leave ( special measures) entered by Carnita or Nasia in EDH on your request with copy to Marta

However, please respect also the schedule of all your links/colleagues before applying such "measures" and inform even internally your supervisor(s) for such actions.

Another point concerning the flexibility of your schedule is linked to the children’s day-care, households, etc. You can use even your email’s agenda/calendar creating a tentative slot for such events or inform directly the one that works with you.

* In order to assure the continuity of the work, please check, perform and informed if needed those that are actually going to SM18, that can help you in several technical cases, avoiding unwanted movements.

An example as demonstrated by Ioannis referred to the automated updates of your PC, which might affect the connection of the remote services. If this happens, then you should inform Gerard or someone else which is planned to go beforehand, in order to avoid unwanted movements and inconveniences.

* The main equipment of the SM18 is either stopped or in a standby mode. Equipment that might be borrowed or easily misplaced should be arranged accordingly the soonest.

One example is the case that concerns the equipment of the mechanical measurements team, which is going to be checked and delivered by Gerard, Michal.

To whom it may concern, please act accordingly if you have similar cases or equipment that need to be taken care of or being locked.

* MS Project alternatives:  Project On-Line, JIRA Gantt Chart and Gantt Chart Viewer, while the url for the MALt is: https://malt.web.cern.ch/malt/
