    Summary of meeting

    Agenda

    1. Venue: We are awaiting feedback on the availability of the Mulungushi Conference Center for 2-3 conference rooms and the rates. We should consider some backup plans in case this venue is not available or too expensive. The LOC mentioned some hotels nearby with conference venues. Venues at the University of Zambia will be explored for the teachers' training program where education infrastructure (computing logistics, physics labs, things needed for hands-on engagements, etc.) might be available. The LOC will also investigate the possibility of having laptops for the teachers program. In gauging the venue capacity, the LOC may assume about 80 international in-person participants; then the question is how many local in-person participants to expect?
    2. Date of event: we suggest extending the event to September 19-25, 2027, to accommodate a program for teachers especially on September 25. 
    3. Poster. Soon, the developer will release the 2nd iteration on the poster. We should collect further comments / changes toward the 3rd and final iteration:
      1. Chilufya will propose deadlines for registration and abstract submissions.
      2. Benard will collect high quality / resolution pics of physics experiments, labs, equipment, etc., to be used in the Africa map on the poster. 
      3. Mounia pointed out that it should be the 5th edition, not the 6th edition.
    4. Towards developing the scientific program
      1. We would like to know from the LOC what are the major topics in fundamental and applied physics and/or community engagements that they want to see developed in the program?
      2. We will design the scientific program with the interest of the LOC at the core.
