Summary of meeting:

The recording of the meeting is here.

  1. Computing logistics
    1. It was decided on using Ubuntu as the Linux system.
    2. 38 machines have been requested for computing tutorials with 2 students per machine.
    3. Students are not required to have their own laptops. The ones that need to use their own laptops should receive instructions beforehand.
    4. Lecturers should not waste time to solve particular issues on a student's laptop with time away from the other students.
    5. There will be lecture rooms without computers, separated from computer rooms for tutorial sessions.
    6. The kits for the IoT are currently in use at the UoN but will soon be made available to be tested for ASP2026.
    7. The kits for the IoT are not expensive; should UoN wishes to procure some, Uli is available to provide details.
    8. Kevin will investigate Apptainer containers to address the need for various computing environment should some students want to use their own laptop.
    9. Prof. Mburu confirmed that logistics for teachers are already addressed at the CEMESTEA.
    10. If any lecturers need any specific software installed (besides Geant-4, ROOT), let know soon rather than later.
    11. If there are any prerequisites that you want students to review before the event, let us know—we will ask them to get familiarized with Python, C++ and ROOT. However, lecturers should expect students at different academic levels and with different prior computing / physics experiences.
  2. Travel logistics
    1. Please don't assume that because of your nationality, you don't need a visa. Please check here if you need one.
    2. You should have received an invitation letter for visa. Let us know if you didn't.
    3. A hotel has been suggested for lecturers, but you should contact the hotel to secure your booking. Let us know if you don't have the hotel information.
    4. Please apply for the visa early if you need a visa.
    5. We have communicated the timetable of lectures; if because of travel constraints you need to make a change, let us know soon.
