Debriefing of Researchers Night Event 2010 Overview • Hosting students in the control rooms was a very positive experience. All different formats used by each experiment were successful. Could someone compile the programs in a central archive? • All of the interactions between ATLAS/CMS and members of IT department were very professional • The webcast suffered from a lack of proper organization and testing, resulting in technical problems before and throughout the evening, frustrating everyone involved and giving a very poor image to the public. • The webcast number, ~350 different visitors (according to CERN IT), does not justify the resources invested. • The number of local public audience and media was really small leaving us with a question mark on the reasons. Future Events We believe most problems were due to lack of detailed planning, publicity and technical preparation. We have witnessed and reported on these problems in the past: e.g. LHC First Physics (March 2010) and Angels & Demons (May 2009). ATLAS and CMS propose the following agreement to avoid these same problems. For future events, we request that: 1. CERN provide a clear statement on the level of commitment it will make to the event; a. Which department(s) will be involved, and at what level b. What investment will be made, in terms of human and financial resources; 2. The project be presented in a clear format including: a. Goal b. Overall description of the project and who is in charge c. Overall description of the technicalities and who is in charge d. Detailed description of actions and who is in charge of each e. Complete plan with fixed deadlines for each action f. Justified estimate of the audience size, in order for us to decide whether the cost/benefit is worth the effort g. What is expected from each of the Experiments _____________________________________________ Minutes from the Group Meeting – 04.10.2010 1.Nuit des Chercheurs : Visits circuits(C. Pralavorio) -Excellents retours de la part des enfants et des professeurs. Merci à tous. -145 enfants inscrits -115 enfants présents le jour J -12 enfants venus sans inscription préalable TOTAL : 127 participants dont 73 français et 52 anglais, environ 30 enfants CERNois -5 professeurs + 1 Directeur d’établissement -5 médias -manque de temps pour faire de la publicité car date trop proche de la rentrée -l’information est parvenue trop tard aux élèves pour l’inscription *Il faudrait informer plus tôt, mettre en place le site web dès Mai-Juin *Améliorer les inscriptions avec une base de données électronique gérée par une seule personne qui serait là le Jour J *Ne pas faire 2 évènements à des dates trop proches ex. :Physic Show la veille… *Faire du surbooking *Prendre plus d’enfants :environ 200 et repenser les activités selon les âges *Centraliser les cadeaux à la réception et laisser le shop ouvert plus longtemps *Prévoir une navette en plus *Prévoir un stand HR pour demande de formation, stages… *Lieu de discussion après la visite « Café scientifique » entre les enfants et les physiciens Videoconference/webcast -lack of planning (1 month and a half before event) -lack of coordination : need to define ONE contact person -technical problems due to the lack of preparation -S. Peer Review : Every aspect of CERN communication will be studied. We are required to show the committee members what we are doing and what our plans are. Observation, findings and then recommandation It is a good opportunity to get advices Aurore will upload documents on the web site and you should get access soon.
