Registration fees
Registration fee prices are stated excluding VAT (taxes). 25% VAT will be added before payment. Exchange rates may vary. To see current exchange rates, please visit for example https://www.oanda.com/currency-converter/en/ or your choice of currency exchange tool.
The registration fee for Regular participants and Students includes:
· Welcome Reception
· Coffee breaks
· Lunches
· Dinners (Except the one on Wednesday during the excursion)
· Excursion to Uppsala including a guided tour in the city center
· Banquet
In order to take advantage of the “early bird” reduced registration fee, please register by April 1, 2025 at the latest.

Students and accompanying guests fees are including accommodation in a shared double room.
Accompanying guest
An accompanying guest is a spouse, family member or friend who will not take part in the scientific program, only the social events. When you register an accompanying guest, you will share your room with your guest.
The registration fee for accompanying guests includes:
· Welcome Reception
· Dinners (Except the one on Wednesday during the excursion)
· Excursion to Uppsala including a guided tour in the city center
· Banquet
Accommodation at the conference venue Wik Castle
If you register as Student, you will be assigned a shared double room.
Full paying delegates can state preference for single room or approve sharing a room. If you register an accompanying guest, you will share the room with your accompanying guest.
· Single room: SEK 1100 per night
· Double room shared with another person: SEK 850/person/night
The prices are including VAT and breakfast
The accommodation cost is to be paid directly to the hotel upon arrival.
If you make a reservation and need to make changes, you can do this by April 25, 2025 at the latest to Academic Conferences. For any changes made after this date, it is not guaranteed that the hotel will accept reduction of charges.
If you have late changes or don't show up to use your room, you will be charged the cost for what you have reserved.
There is no possibility to arrive earlier or stay longer at the Castle.
To extend your stay please use regular hotels around Uppsala. Few of them are listed here (link)
Be aware that June 6 is the National Day in Sweden
Cancellation conditions
Cancellations should be made in writing to the conference payment secretariat. If you cancel a still unpaid registration, you will be charged a cancellation fee of SEK 750.
Cancellations made by April 25, 2025: the total amount will be refunded/cancelled except for the cancellation fee, SEK 750.
Cancellations made after April 25 will not be refunded.
Change of Name
Should you be unable to attend, you will be given the opportunity to send someone in your place at no extra cost. If this should be the case, please contact the conference payment administration, Academic Conferences at MeVArc@akademikonferens.se
Accommodation reservation
You pay the hotel bill directly to the hotel/conference venue Wik Castle (Wiks slott) when you arrive. You can make changes in your choices up until April 25, 2025. After this date, the hotel can't guarantee possible changes, and late cancelled nights will be charged as the original reservation. If you don't show up at the venue and use the room as reserved, the hotel cost will be charged to you afterward.
Please make sure to contact the payment administration Academic Conferences with any changes before April 25 to avoid cancellations fees.
Swedish participants
Swedish participants can choose to pay either by credit card or by invoice.
Invoice to Swedish organizations will be sent as an electronic invoice (e-faktura) if possible, or otherwise as a pdf by e-mail.
Participants from outside Sweden
All payments must be made in SEK (Swedish krona)
Payment should be made by credit card or by bank transfer (invoice).
An invoice including bank transfer information (bank account number, IBAN, etc) will be sent upon choice of this payment method. The invoice is created manually, and will usually be sent a few days after registration.
The participant/payee is responsible for any bank charges/fees associated with the payment.
Credit card payment
We accept the following credit cards: VISA and Mastercard.
For your safety, our payment system is connected to the 3D Secure system for ensuring the security of payments made through the internet. Your card needs to be connected to Verified by Visa or Mastercard SecureCode. Your bank can inform you if your card is connected, and if not already, how it can be connected.
Taxes / VAT 25%
According to Swedish and EU legislation, 25% Swedish VAT will be added to all registration fees. This according to EU legislation and regulation for conferences and events (C-647/17, EU:C:2019:195, of 13 March 2019 and Article 53 of Council Directive 2006/112/EC of 28 November 2016) VAT is paid in the country where services are rendered, e.g. the country in which the conference takes place.
Exception: Swedish participants from governmental public sector organizations “statliga myndigheter” (e.g., universities, governmental agencies): No VAT will be added. In this case, you must choose Invoice (Swedish billing address only) as the payment mode and provide the VAT number of your employer.
For payment by credit card, VAT will always be charged, also for participants from “statliga myndigheter”.
