Notes for preparation meeting #1
European HTC workshop 2025 Prague

Participants: Greg, Helge, Chris, Alexander, Christoph, Dagmar A. (collegue of Alexander and local organizer)

- Room is reserved, will be split in half (it’s a 300 person room in full) 2nd half for lunch breaks

- An official permit for the workshop to take place is pending 

- 2nd room for office hours

- Catering is organized for lunches and coffee breaks (4 x lunch, 7 x coffee break)

- Sponsoring is not yet decided but will be clear by the next meeting, rooms are rent-free 

- There is no current Hotel recommendation, anything on the ‚red‘/‘C’ tram line would work, it’s a 10 minutes walk from the tram station (called ‚Ladvi‘) to the location

- We will come up with a hotel recommendation for the board members later

- There should be a field in the INDICO registration for the VAT as some institutes want this to appear on the facture

- Sasha and his team might fancy a user tuitition similar to what we had in Amsterdam but that is yet to be decided

Action items

- Finalize some of the content of the INDICO page (Sasha)

- Send a ‚save the date e-mail‘ (Chris)

- Publish the INDICO page (done)

- Add Dagmar Adamova = dagmar.adamova@cern.ch to the mailing lists
