Logistics

  1. For the conference excursion, we decided to stay in Togo and go to the waterfall. Prof. Amou showed the cost but we believe that the rental cost of a 50-person bus is too high. We suggest looking for other bus rental. In parallel, we suggest following up on the request of 2 university buses of 30-person occupancy. People may organize their own excursion: Deepak is planning to go to Benin—please contact him if you want to join him.
  2. We sent to Prof. Amou the list of the people we would like to cover at the University residence and we request confirmation of their accommodation reservations.
  3. We request pro forma invoices (devis) with bank information for payments for the reception, conference dinner, and University Residence.
  4. Discussed at the previous meeting: we request a shuttle service to meet / drop people at the airport at any time, night or day.

Physics outreach, training, engagements

  1. The English Learning Center cannot be used for the Open Data Training on September 20. The LOC is looking for another venue, then we will know the venue capacity.
  2. Kenneth wants to know about the participation of Sigma; the LOC will find out. Kenneth requested that the LOC appoints a few persons among its ranks to help with the events on September 20, especially in English <-> French translations; the LOC will discuss and make recommendations. Mirjana wants to add astronomy outreach (public talk, teachers training and visits to schools). We have added the public talk to the agenda on September 19. For the teachers training, Mirjana and Kenneth will discuss options for integrated activities in parallel or series. For the visits to schools, Mirjana will talk to the LOC and her contact in Togo to agree on a program.

The Zambian delegation at ACP2025

  1. Zambia will host ACP2027; they are sending a delegation to ACP2025 to inform their own planning and preparation for ACP2027.  The delegation, consisting of Zambian University officials and representative from their Ministry of Education, would like have a series of meetings with the Togolese counterparts in parallel to the ACP2025 activities—Benard will liaise with Prof. Amou to flesh out details. In addition, we will add the Zambia delegation to the agenda to few interventions.

The scientific program and invited talks / speakers

  1. We would like to finalize the scientific agenda soon. We can re-direct unused timeslots to other things.
  2. We expect from Mirjana clarity on 2 physics talks in cosmology or astrophysics—they may be given online.
  3. We also expect from Lawrence converge about 2 physics talks in materials sciences or light source applications.
  4. One slot on quantum computing is not filled. We can re-use it for something else.
  5. In Nuclear Physics, an invited speaker is not responding to subsequent communications; we may use that slot for something else.
  6. The session of fluid & plasma physics is not filled and may be re-directed as well.
  7. For the contributed oral presentation sessions, Mirjana suggested to identify the in-person talks and the ones online. Mounia will go through the contributed talks on the agenda and drop the ones where the presenters have not responded to repeated communications from the organizers.
