General Information


Participants: you will receive instructions for making your hotel reservations and registering for the conference in an attachment.

Meeting Registration will be held on Monday evening at the Aspen Center for Physics.  The scientific sessions will run from Tuesday morning to Sunday noon at the Aspen Center for Physics. Dinners are on your own, except for the conference dinner. We will provide a list in your packet of a suggested restaurant for each of the other evenings, in addition to the Meadows bar and restaurant.

Registration

Registration fees are $350 per person. They are refundable. No food is included in this fee.

Hotel Reservations

A lodging package is arranged each winter. In 2013, nightly prices include breakfast and range from $121.50 for shared occupancy to $220.00 for single occupancy in January and March and $135 to $250.00 in February. Reservation instructions are available only after the application deadline has passed. Hotel deposits are generally not refundable based on the date of cancellation and the hotel. At the Aspen Meadows, deposits are not refundable if cancellation occurs fewer than 30 days from arrival.

Once you receive your acceptance to a winter conference, we will provide a password to register online, pay your registration fee online and reserve a room. You will also have the opportunity to enter your name on a roommate list, should you elect to share. Prices are listed on the linked pages.

We do not block as many rooms as there are participants in a conference because many people share. The available rooms are on a first–come, first–served basis. If all of the rooms are booked, you may not receive the block price or may not be able to get a room at the Aspen Meadows. You can also shop online for rooms in Aspen or contact the Physics Center for additional assistance.

Winter Air Travel

Booking your flight directly to Aspen (ASE) is easiest, assuming in good weather, and there are direct flights from Chicago, Dallas, Houston, Los Angeles, and San Francisco. You can also choose to fly into Denver (the closest international airport, DEN) and use ground transportation as explained below. Allegiant Airlines has an inexpensive flight from Los Angeles to Grand Junction, Colorado, and then you would rent a car and drive three hours to Aspen.
