PMB meeting 2007-Oct-29 Note: NEXT MEETING will be on TUESDAY, Nov 5, 10.00 CET Minutes Attending the meeting: Ake (minutes), Lauri, Zofia, Algimantas, Mario, Katrina Comment: the meeting was fairly short (20 min) since the topics was already known, and not much new or AOB added. 1. DoW update - Deadline for update is October 29 (Today). - Status: got input from Zofia, Norbert and Florida 2. QR - Deadline Nov 15 - See clarification in the agenda below. 3. Deliverables and milestones - The DJRA1.x have changed dates - October deliverables (PM24) should be sent to PMB for review on October 31. 4. AHM agenda - Minor changes, see v0.4 below. ---- Agenda 1. DoW update -> Deadline October 29 (Today). Ake sent the latest versions of DoW and a document describing the updates to the DoW. 1.1 One version have already been sent to Brussels. But we have been asked to send an updated version to this one. 1.2 All activity leaders: Read through the http://www.balticgrid.org/Internal/PMB/files/BG_Annex_I_Updated_v5r1.doc and the BG-DoWUpdates-v1r0-KTH.doc sent earlier and send updates to Ake. 1.3 Status: got input from Zofia and Norbert. 2.Activitiy status 2.1 Quarterly report -> Deadline November 15 (earlier Oct 26, changed due to hearing and change of scope) Clarification: - In BalticGrid there is no NA1 deliverable for sending quarterly reports to the Commission. - We have a document, see attached, that we on a quarterly basis update by adding information on work performed since the last quarter. - This updated document is send to the commissioner (Enric) to keep him updated on the progress. - As it seems we haven't sent any updates since the last review, something we need to change as soon as possible. - All activity leaders need to update their part from where they last reported up till October 2007 and send the updated chapter to Ake. - Deadline for this is Nov 15, not Oct 26 as stated in earlier minutes when Ake thought it was only information for Aug-Oct 2007 that was needed. - - - Note: this is not 'only' to help Enric to understand how we're doing in the project (he sees the D&M as well) BUT also very important for the next review. Reviewers have limited time to do the reviews. Reading the project reports is the first thing they do (I know from my own experience as reviewer). ToDo: -> Ake attached the previous version, all activity leaders to update their chapters accordingly. -> Deadline for update: Nov 15. After this date Ake will compile and send out a version for final comments. 2.2, 2.3 Deliverables & Milestones In time, some DJRA1.4 and DJRA1.5 need to adjust deliverable dates (to PM26 and PM25), see 1. above. 2.4 AHM agenda - See current program below. Send comment to Ake, or bring to meeting. Note: there will be (as last time) a 100 EUR registration fee to cover some of the local costs (meals). 3. BG-II proposal (ongoing) "Indicative timetable for Research Infrastructures Call 2" - Evaluation Summary Reports sent to proposal coordinators Early November 2007 - Invitation letter to successful coordinators to launch contract negotiations with Commission services End November 2007 - Letter to unsuccessful applicants Mid December 2007 - Signature of first contracts 1st quarter 2008 4.
