      Basic Information

      Meeting no. 1

Date: 27th of August at 10:30 am

      Minutes: Jenni Kaipainen

      Present: Erwan Harrouch, Emeline Peyrat

      Minutes

The purpose of the minutes is to gather some of the main ideas, but as the discussions are very open, it does not involve any official minutes of an agenda.

      • The current openSE lifecycle model is more of a classical model and does not reflect how the projects in CERN are truly implemented
      • Benefits management plan: Monitoring of value delivered after the project is finished
      • Do we need separate documents? Could we merge the needs in one document? à less work and management
        • If people don’t even have time for creating a PMP would they create this kind of document?
        • One idea is that a combined document could balance the expected value with the risks
      • Toolbox for project deliverables would be useful in openSE
        • Proposal:
        • Roadmap: Focus on having something simple an short
        • Management plan
        • Progress reports
        • Close-out report: can in some cases be also informal, just a discussion

      • Different kinds of projects are needing different things, obviously. The context matters!
      • Question for the group: Who has used the documentation of your projects?
        • Project roadmap has been useful for the project core team, referring to the roles and main principles
      • Why does CERN want to have openSE, what is the long-term vision. Are we trying to harmonize currently used project management practices?

à openSE foundation: collection of best practices and applies to most of the project most of the time. It is a service we have and we try to improve it for the benefit of CERN projects

      • Project management guidelines have usually always the same principles (HERMES, PRINCE2, etc.) but with different terms or names of phases etc.
      • OpenSE is a good opportunity to enhance CERN’s image to outside stakeholders

      Next steps

      • Next meeting in two weeks time same place same time; 10.9. in R-035
      • Indico access for the task force members
