IOC Meeting
To discuss the scientific program of ACP2023
ACP-IOC meeting on May 23, 2023:
Present: Sanae, Jesutofunmi, Kenneth, Uli, Ulrich, Christine, Lawrence, Benard and Mounia.
Apologies: Kétévi and Obinna
Salient points:
- Mounia, Sanae, Uli, Benard, Jesutofunmi & Kenneth, and Ulrich showed slides on the progress with their sessions and invited speakers; Mounia presented an update on Gopolang and Obinna sessions.
- For the talk on "Africa Biophysics", we suggested considering ASP alumnus Kayode Dada as a candidate speaker; BUT we can't see his name on the ACP2023 scientific program yet!
- Christine suggested to distinct between in-person and online talks on the ACP2023 scientific agenda (In-person in green and Online in blue, Kétévi to re-check)
- Young Physicists Colloquium: Mounia will invite Prof Chabab to be a panelist as a replacement for Cherkaoui who declined.
- Special session on early career African physicists: All invited Alumni have confirmed their participation.
- Accelerators and light sources: Waiting for feedback from Gihan and Simon final response.
- Special session on small detector labs: All invited speakers have confirmed their attendance, so far, Uli has received 3 abstracts out of the 4 talks, Kenneth has confirmed to send his abstract soon.
- Special session on African countries joining and thriving in large collaborations: Benard to check with Kétévi about the allotted time for the panel discussion.
- Special session on large research infrastructures / big detectors in Africa: Ulrich mentioned that a speaker for the SKA talk exhausted his travel budget and the PhD student for AMT talk he may need a financial support.
- Physics Education & Communication: Funmi highlighted speakers who accepted and who declined.
- Atomic, molecular and laser physics: We get an early update from Obinna mentioning that four speakers accepted to attend and he is still following up on two.
- Lawrence asked if we can save space to see if there is African participation in ITER.
- Azwinndini didn’t attend today’s meeting, so we didn’t get any update on the status of event logistics (venue, hotels and catering).
- We should make a list of confirmed speakers to be given to Azwinndini so that the LOC will prepare invitation letters needed for visa applications.

ACP-IOC meeting on May 9, 2023:
Present: Azwinndini, Sanae, Joesutofunmi, Kenneth, Uli, Ulrich, Christine, Benard and Kétévi.

Salient points:
1 Jesutofunmi & Kenneth, Sanae, Benard, Uli and Ulrich showed slides on the progresses with their sessions and invited speakers; Kétévi presented the slide of Mounia. We discussed replacements for declinations and talks for which there are no confirmed speakers yet.
2 We agreed to invited Mohamed Chabab for the talk on "HEP in Africa"; Ulrich will work Hayfa for a dedicated talk she will prepare on BSM;
3 Funmi will invite Prof Will Ngwa to give a talk on "the global health catalyst online university" as a replacement for Zakaria Aboulbanine who declined.
4 For the talk on "Africa bio physics", we suggested to consider ASP alumnus Kayode Dada as a candidate speaker; especially, efforts should be made to identify potential speakers from the rest of Africa (other than from South Africa; we note that the agenda is already too subscribed with African speakers).
5 Azwinndini will invite Sophie Mulaudzi (for a talk in energy) and the person suggested as a replacement for francois Engelbrecht.
6 For the session on energy application: Aina requested to give her talk online; Daniel Egbe said that he has no funds to travel. Diouma should find a replacement for Daniel—someone who can travel.
7 Obinna should tell us by email about his progress on Atomic, molecular and laser physics.
8 Uli should check with the invited speaker on "air pollution in Africa" if he can at least cover his travel.
9 Ulrich presented the preliminary program on "large research infrastructure in Africa" and we discussed a few potential speakers.
10 Benard will proceed to send invitations to himself, Venu Rajagopalan and Abhay Deshpande on "African countries joining and thriving in large collaborations". For the discussion session, he recieved updated names from Christine; he will approach these folks, making it clear that their participation is for the discussion.
11 Sanae has finalized the session on "accelerators and light sources", with Mounia haven invited Gihan. (waiting for feedback from Gihan). Sanae will invite Simon Connell.
12 We briefly discussed with Azwinndini the status event logistics (venue, hotels and catering). More discussions will the LOC will be arranged soon.
13 We encourage all session leaders to finalize their invitations and identify confirmed speakers by the next meeting on May 23. Then, we will make a list of confirmed speakers to be given to Azwinndini so that the LOC will prepare invitation letters needed for visa applications.
14 Sanae reported that folks asked about accommodation options; we will get this information from the LOC and make it available in June.

- [Africa High Energy Physics] Ulrich to confirm with Haifa if she will be able to give this general talk about Africa High Energy Physics, if not we should find someone else who has a broad overview of HEP in Africa.

- [Conference dinner talk] Azwinndini proposed Dr Derrick Swartz as a guest for the dinner talk on Sep. 28.
- [Special session on small detector labs] Uli proposed two speakers connected to Africa for his session. Both speakers have already accepted the invitation.
- [Africa biophysics] Lawrence to confirm with Tebello Nyokong (chemical physics) if she will be able to give a broad talk connected to Africa.
- [Special session on African countries joining and thriving in large collaborations] Benard with Kétévi gave us an overview of how they are going to organize this session, Christine added a few suggestions to his list of speakers. Please see the proposal on the indico page added by Benard.
- [Special session on large research infrastructures / big detectors in Africa] Next meeting, Ulrich will give us an update on this session
- [AMO] Obinna presented one slide with a proposal (program and speakers), the slide will be posted on indico as soon as we receive it from Obinna.
- [Physics Education & Communication] Kenneth and Funmi presented detailed proposals and the suggested speaker names already added to the ACP2023 google doc.
- [Physics and climate] In a later communication after the meeting, Azwinndini suggested a climate modeling expert Francois Engelbrecht from Wits. Azwinndini will check for the availability of Francois.
- Kétévi will prepare a draft invitation letter for review.
- The Next meeting will be on Tuesday, May 9. Session leaders will be asked to provide an update on their sessions.
