General Information


Participants: you will receive instructions for making your hotel reservations and registering for the conference in an attachment.

 Meeting Registration will be held on Saturday evening from 5:00 PM until 7:00 PM at the Aspen Center for Physics.  The scientific sessions will run from Sunday morning to Friday noon at the Aspen Center for Physics. Dinners are on your own, except for group dinners on Sunday and Thursday evenings. We will provide a list in your packet of a suggested restaurant for each of the other evenings, in addition to the Meadows bar and restaurant.

 Our special prices for a hotel room at the St. Regis expired on Friday on Decmeber 16, and the rate at the Aspen Meadows is in effect until the block is filled, or by January 10, whichever occurs first, so make your reservations soon while the group price is available.  Instructions for registering and for booking your lodging are in the attachment.  If you would like to share a room with another participant, which we highly encourage since the conference is full, the Meadows must have both roommates’ reservation forms before securing the reservation.  If you want to share a room and have not identified a roommate, please select one from the roommate list, or register there so others can find you.  Nights that are not shared will be billed at the single occupancy rate.  The Meadows will charge for your whole stay at the time the reservation is made.  Please note that the room charge for Tuesday and Thursday nights includes the dinners, and is therefore $60 more per occupant per night.  Reservations are fully refundable except for a $35 handling fee, if cancelled more than 32 days before your stay begins.

 There is a $350 registration fee for this conference.  You may pay it online by following the attached instructions.

 TRAVELING TO ASPEN: Make reservations far in advance, since winter weekend travel to Aspen is popular.  Flying from Denver to Aspen takes about 35 minutes and is served by United Express, 1-800-241-6522, Frontier Airlines 1-888-269-8379 and American Airlines 1-800-433-7300.  There are also direct flights to Aspen on United Airlines (Chicago, Los Angeles, San Francisco, and Houston)  and American Airlines (Los Angeles, Dallas).  You may also choose to fly into Eagle-Vail, Colorado, which is 80 minutes by car from Aspen.  Ground transportation is available from both Denver (5 hours) and Eagle (1.5 hours) through Colorado Mountain Express: 1-800-525-6363, Fax #: 970-949-5032.  Reservations are required.  To get the discounted rate, mention that you are with the PHYSICS Group.  You can also arrange to rent a car or get a ride with another participant.  Sign up on our RideBoard on our home page. Keep it short, include time of travel and your email address.  If you are driving from Denver, please note that  INDEPENDENCE PASS IS CLOSED DURING THE WINTER!  Take I-70 to Glenwood Springs and then Highway 82 to Aspen.

  ARRIVAL AT THE MEADOWS: If you arrive by air, you may call the Aspen Meadows from the airport at 970-925-4240 for complimentary shuttle service.  If you arrive by ground transportation, their address is 845 Meadows Road.  If you arrive by car, drive north on either 7th or 8th Street, and you will be directed to the hotel.  Cars are not needed in Aspen, but if you bring one, parking is free at the Meadows and at the Center.  Breakfast is included in your reservation and served at The Meadows.  The meetings are held at the Aspen Center for Physics, located a short walk from The Meadows.

  REGISTRATION: A registration reception will be held at the Aspen Center for Physics from 5:00 - 7:00 on Saturday evening. The Meadows shuttle can bring you, or you can walk it in 5 minutes.   If you want to explore the local restaurants after check-in, there are free local shuttle buses to take you to town from the Physics Center.  We will also suggest a local restaurant for each night and the hotel has a restaurant and a bar menu if you prefer to eat there.  If you arrive after 7:00 PM, you may register the following morning at the Aspen Center for Physics, where your meetings will take place..

  COMPUTER FACILITIES: The Aspen Center for Physics has wireless and ethernet internet access, a printer and a scanner available for your use. There is no access to the ACP network from off-campus.  If you are coming from a foreign country you may need to bring an adaptor for the electrical connection.

   CONFERENCE SCHEDULE: The scientific program has been planned for early morning and late afternoon sessions, which allows participants ample time for discussions and recreational activities.   The sessions will be held at the Aspen Center for Physics in Flug Forum, which has an LCD projector and an overhead projector available for your use. Also, we have a 4-way video (VGA) switch to allow for a smoother transition between talks, and a tablet computer. There will be two sessions held each day, a morning one from approximately 8:00 AM  to 11:00 AM, and an afternoon session from approximately 4:30 PM to 7:00 PM, except for Wednesday afternoon, at which time a Physics Café and Public Lecture are both held at the Wheeler Opera House for non-scientists.   You will receive a program at registration.

  RECREATION:  The elevation of the town is nearly 8,000 feet, so consider the effects of the altitude during your first few days – drink lots of water and don’t overdo the exercise.  Aspen offers a wide variety of winter sports, including downhill and cross-country skiing, ice-skating, and walking.  Equipment can be rented for all activities, and instruction is also available.  We have obtained ski lift tickets at a rate of $73 for a full day's ticket.  This is cheaper than the half-day rate or multi-day rate.  You may purchase them at the Center during your stay.  IF YOU NEED TICKETS BEFORE MONDAY EVENING, GO TO CART.ASPENPHYS.ORG AND PURCHASE THEM NO LATER THAN THE WEDNESDAY BEFORE YOUR ARRIVAL.  We will arrange to have them waiting for you at the Meadows upon check-in.  If you are not staying at the Meadows, please let us know where to deliver them..  If you plan to rent ski equipment, we will direct you to the shops that will give you a discount.
