    LHCP 2020 steering committee meeting

    IAC report:
    — waiting for schedule, nothing to report since last time
    — everyone asked accepted to be in the IAC; complete

    PC report:
    — a priori following same structure as previous years, adapting it w.r.t the social events (last year one at https://indico.cern.ch/event/687651/timetable/#20190520)

    LOC report (see minutes):
    — details w.r.t social events sent to PC
    — need feedback concerning the two possible poster versions to keep going on it: preference of connected people for the dark one but on landscape format
    — first version of the webpage http://www.lhcp2020.fr online
    — will meet some outreach experts w.r.t the outreach event
    — further funding calls/requests being considered
    — low cost accommodation booking extended

        • July 9th: obtained confirmation of rebate for Conference Center: 39k -> 28k euros
        • July 10th: sent budget to Dawn and Connie to request creation of CERN budget line
        • July 15th: sent to Gautier and Pierre two names for "local" members of PC
        • July 16th: mailed 3 private companies to ask for financial support
        • July 18th: obtained answer from P2I (Paris Saclay/Orsay physics department) application: 2500 euros obtained
        • July 19th: visit of alternative place for dinner (pavillon de Chesnaie) - option put
        • end of July: signed contracts with
          • Maison des Oceans  (amphitheatre for seminar for general public)
          • Hopscotch (hotel reservation central)
          • Museum des Arts forains (cocktail)
        • Aug 7th: 2nd visit of Maison des Oceans - with audio/video technician to get quote for lights, support to art performance, livestreaming
        • Aug 8th: sent to Jim list of 8 potential "local" candidates for IAC

         

        TODO:

        • contact more private companies
        • ask Dawn and Connie if they sent the request to CERN
        • check how money can be transferred from CERN to LPTHE to pay for the Conference Center
