The scope of the workshop is to bring together experts from the various EIROForum Organizations to exchange on concepts / issues / solutions in the area of Configuration Management for hardware items.
The workshop will be a in-person meeting, with the focus on discussions and knowledge exchange. There will be overview presentations by each of the Organization, as well as three splinter sessions on dedicated topics, with in-depth discussions, tool demonstrations, question-and-answers, illustrations, etc.
The overview presentations on the first day will also be streamed online, allowing for remote participation. The dedicated splinter meetings on the second day are in-person only, to allow focused discussions, brainstorming, tool demos, and exchange of experience.
Ideally, we would have one participant from each of the EIROForum organizations for each of the (parallel) splinter meetings.

Asset Management
- Identifying / Labelling / Tracking assets through their entire lifecycle (incl. at supplier)
- Locating assets within the facility
- Tracking hardware changes in the field and keeping documentation in-sync
- Knowing hardware & software configuration at a given point in the past
- Identifying & managing spare parts across several systems
- Inventory of hardware assets
- Managing the transition from limited CM to full CM at an organization,
retro-fitting existing hardware systems into the new approach - Building-information-models (BIM)
- Managing changes to hardware and update of documentation
- Configuration status accounting: managing configuration baselines
- Naming conventions
- Asset labelling approach
Document Management
- Linking documents with physical assets.
- Link between documents, metadata and Product-Breakdown-Structure / asset ID.
- Managing metadata of documents.
- Document lifecycles & release process.
- Hand-over process of documents from contractors to prime institute.
- Balance between editable documents (e.g., Microsoft sharepoint / OneDrive / NFS shared drive) and formal document management system with release process. Interface between the two tools.
- Keeping documents aligned with hardware changes in the field.
- Product-Lifecycle-Management tools (PLM) linked with Product-Document-Management tools (PDM).
- Managing engineering drawings and models (CAD, FEM, optical, electrical, etc.) and link to document management system.
- Engineering archive with configuration data, system parameters, and their history.
