Covered costs
For the invited experts the following costs are covered (thanks to the Swiss National Science Foundation):
- Travel: the exact amount allocated to each invitee has been communicated, which is to cover the flight plus transport inside Switzerland.
- Accommodation Swiss Alps (Ayent, Valais): The 4 nights on the mountain will be fully covered by us and you will not have to do anything for this.
- Accommodation Geneva: If needed we can cover one night either before the workshop or after the workshop in Geneva, up to a maximum of 150 CHF for one night.
- Food: We will cover the food costs. For the Swiss Alps part, we will do self-catering, so everyone will join and eat together; for your time in Geneva, we can cover one day either before the workshop or after the workshop, up to a maximum of 50 CHF for one day. For breakfast, there will be coffee and croissants present at 9:00 am on Monday and each day in the Swiss Alps as well.
- VISA application fees if needed.
- All other expenses not outlined above will be your responsibility.
Booking/Reimbursement
- You will have to make the booking of both your flight and your accommodation in Geneva by yourself and will be reimbursed by us.
- To get reimbursed you will just have to send the receipts + bank info to us after your booking, and we will ensure you will be fully reimbursed (within the limits described above).
- Again for the Swiss Alps part, there is nothing to organize from your side, so it is only the trip to Switzerland + the potential accommodation in Geneva for the first and/or last night.
- For food costs in Geneva, you will need to keep the receipts to get reimbursed.

For reimbursement, kindly send us your receipts/invoices along with your bank details as follows:
- Holder's full name (as registered with the bank)
- Holder's address (as registered with the bank)
- Bank name
- Bank account number (or IBAN)
- Bank address (the one which opened your account)
- SWIFT/BIC
Please note:- Expenses will be converted to Swiss Francs (CHF) and reimbursed only in CHF. Ensure your bank can receive CHF.
- Our university’s accounting office will open in January 2025, and we will begin processing reimbursements from that time.
