    ACP IOC + ACP2027-LOC meeting, October 13, 2026

    Meeting Summary:

    1. The date: the LOC proposed 3 options.  We discussed and agreed on September 20-24, 2027 as the date for ACP2027.
    2. The venue: the LOC proposed the Mulungushi International Conference Center in Lusaka. It is within walking distance from the University of Zambia, and there are many hotels around. The LOC will:
      1. check for availability of the venue on the conference date. What we need for our event is a conference room for the plenary sessions (capacity ~150 persons) and one additional room for parallel sessions (capacity <100 persons). Within the conference venue, our event may proceed in parallel to other events, so long as we can be accommodated for the rooms that we need on the date of our event.
      2. If available, the LOC will reserve the venue for the conference date and make a list of hotels within the vicinity with their price ranges, and let us know by October 20.
    3. The Poster: The developer sent 3 versions.
      1. The LOC should examine the 3 options and tell us their preference, with comments to improve that preference, by October 20.
      2. Other members of the organizing committee should do the same by October 20.
      3. On October 20, we will aggregate all the comments and contact the developer for work towards the final version of the poster.
    4. Any Other Business (AOB)
      1. Possibility for adding a program for high school teachers will be considered, perhaps by extending to Saturday September 25 and Sunday September 19, in which case, the full event date will be September 19-25, 2027. We agreed to contain ACP2027 and associated activities within one week. 
      2. If the activities for teachers should take place also at the Mulungushi Center, then the LOC should as for one room for plenary sessions and 2 rooms for parallel sessions, for the period of September 19-25, 2027.
    5. Next meeting: October 27 @13:00 UTC.
