The 38th CERN School of Computing will be held at the Eastern Macedonia and Thrace Institute of Technology, Kavala, Greece from Monday 14th of September to Friday 25th September 2015 (1)


(1) Students will have to arrive on the Sunday 13th September and leave on the Saturday 26th of September 2015.

Visas
Many visitors to Greece will not need to obtain a visa for visits to Greece of up to 90 days. This includes citizens of all other European Union countries, Canada, Australia, Japan, and the United States.

Travel & Transport
From Thessaloniki airport 

From the airport, you can take either a taxi to the city of Thessaloniki or take the bus. (no trains)
Bus Nr. 78 which runs every 45mn
Fare of a single ticket : 0.60 euros (45mn)

From the main KTEL bus terminal in town, there are about 15 daily connections so you don’t need to worry much about booking in advance.

There are two possible routes. The slowest (3 h) is via the mountains and the buses leave every full hour. The fastest (about 2 h) via Nea Peramos and there are 4 departures per day ( 9 a.m., noon, 3 p.m. and 6 p.m.).

From Kavala airport

The airport  "Alexander the Great" , is in a distance of 27 km from Kavala
As there is no shuttle, the only way to reach the town or hotel Lucy  is by taxi.

The weather in Greece in September is warm and mild.  Average temperatures in Kavala for September range from 19 to 29°C.

Participation The School is open to postgraduate students and research workers with a few years' experience in elementary particle physics, in computing or in related fields. The number of participants will be limited to 60 Applicants. They may come from CERN Member States as well as from other countries.

Personal contacts and informal discussions among the participants during leisure time are an important aspect of the School. For this reason, participants are asked to note that they should not be accompanied by family members or friends.

Sport During the school, you will have the opportunity to practice different sports such as Tennis, Badminton, Climbing, Kayaking, Swimming, Football but also indoor sport activities.

  • Hiking shoes for outdoor excursion
  • Sport shoes that will get wet if you participate in the kayaking activity
Registration

Participants should reach the Lucy Hotel for on-site registration during the afternoon or early evening of Sunday, 13th September 2015.
Registration will take place in the hall of the Hotel from 14:00 to 19:00
For any late arrival, please inform Yasemin before Sunday 13th September 2015.
Participants should note that lunch on the day of arrival (Sunday 13th of September 2015) is not provided, but the dinner is.
The School will end on the morning of Saturday 26th September 2015, after breakfast.

 

 

Fee: What it covers

The total fees of the School is 1200 per participant. The total fee of the school covers:

  • Tuition and handouts
  • Accommodation including breakfast and dinners in the Lucy Hotel from Sunday, 13th of September to the breakfast on Saturday 26th of September 2015.
  • Lunches, and two daily coffee breaks on the campus from Monday 14th of September to Friday 25th of September 2015.
  • All organized social activities (sport, excursions, special dinners ...) of which details will be given at a later time.

Participants should note that lunch on the day of arrival (Sunday 13th of September 2015) is not provided, but the dinner is.
The School will end on the morning of Saturday 26th September 2015, after breakfast.
Note on meals:
Participants are warned that all regular lunches and diners will have a common, buffet-style, menu. There will be no a-la-carte facility. It will not be possible to accommodate special dietary restrictions.

Fee: What it does NOT cover

The fee does not include travel expenses from the participants' working place to the Lucy Hotel and back.
Participants arriving before Sunday evening 13th of September or leaving after Saturday 26th of September a.m. will be entirely on their own: the school will neither arrange for their accommodation nor will cover any cost associated to their extended stay.
Any extra cost incurred during the stay (including private excursions, private expenses in the hotel and on the campus, private transport costs, private meals, ...) will not be borne by the school organization.
Any cost incurred by a participant not following the official excursion or social programme (e.g. meal cost of a participant not attending an excursion which includes a meal) will not be borne by the school organization.

The selected participants should pay the total fees prior to the school upon receipt of the letter of acceptance into the following account (the selection decision will ne notified to applicants by the end of June 2015)

Subsidy and assiduity

The actual expenses per student exceed the total fees requested to participants. The difference between the actual cost and the total fee is borne by the school organization.

Academic participants are therefore subsidized, and complete assiduity to the entire scientific programme is mandatory.

Candidates should ensure that not only have they completed the Web Application Form, but that a signed formal letter of reference (on formal headed paper from the applicant's institute/organization) from their supervisor or professor is uploaded on the registration site by the 30th of May 2015 at the latest.

In addition, a certification form must be filled in and signed by the applicant's supervisor or professor (and not by the applicant) and uploaded on the registration site by the 15th of June 2015.
Note: applications are for the entire programme. It is not possible to register for one theme only.

Selection of participants

The number of participants is limited to 70.
The selection of the participants will be made by the Selection Advisory Committee and participants will be informed of the outcome of their application by the end of June 2015.

Cancellation The CERN School of Computing Advisory Committee reserves the right to refuse reimbursement of part or all of the fee in the case of late cancellation. However, each case of cancellation would be considered individually.
Replacement In all cases of withdrawal or cancellation, whether last-minute or otherwise, the choice of a replacement, if any, will lie entirely with the Advisory Committee and not with the laboratory or institute where the withdrawing participant works.
Liability and Insurance Participation in the CERN School of Computing and in all activities organized in the framework there of (whether by CERN or by third parties) is at the participant's own risk and neither CERN nor the third parties concerned accept any liability with regard thereto. Equipment and materials made available to participants during the CERN School of Computing are made available on an "as-is-basis" without any warranties express or implied. Their use shall be under the sole responsibility and at the sole risk of the participants.
Participants shall be solely responsible and liable regarding their property and CERN shall have no liability in case of loss, theft or damage thereof.
Participants shall ensure that, there shall at all times during the latter's participation in the CERN School of Computing be insurance cover against illnesses and accidents valid in the place of venue, and against disability and death resulting from illnesses and accidents of the participants. The participant shall hold CERN free and harmless from, and indemnify it for any cost or expense resulting from the situation where any part of the insurance cover detailed above is not in place.
Language The working language of the School will be English. There will be no simultaneous translation.

Participants should therefore have sufficient understanding of English to enable them to benefit from the School.
