Journal guidelines

Authors are strongly encouraged to consult the official journal guidelines before sending inquiries to the PCs:

  1. Instructions "how to prepare your article":
    https://www.epj-conferences.org/doc_journal/woc/pdf_guidelines.pdf

  2. Publication right form (to be signed by at least one of the authors):
    https://www.epj-conferences.org/doc_journal/woc/publication_right_form.pdf
  3. Ethical rules https://www.epj-conferences.org/about-the-journal/publishing-policies-ethics
    and General editorial guideline https://www.epj-conferences.org/doc_journal/woc/epjconf_editorial_guidelines.pdf

  4. The templates are available at:
    https://www.epj-conferences.org/for-authors
    We will use the single-column version, and because of the guidelines from the journal, we encourage authors to choose a latex template. NOTE: the templates should not be changed or adjusted apart from the content you put in.

Please take great care of preparing the correct author list with proper affiliations. Any corrections after the publication has been accepted will not be possible (this would be required to write an addendum to the online issue at a price tag we cannot cover).

Finally, the journal requires that a plagiarism report be sent along with the paper (created automatically by the conference organisers). The journal's rules can be consulted here:
https://publicationethics.org/cope-positions#plagiarism

Submission procedure

Please drag both paper and publication right form into the same file dialog when you submit. If you don't upload multiple files, the programme committee will ask for corrections to allow for a second upload. In this case, please let us know by commenting on the paper page. To submit or to see your papers, go to the paper submission page.

The submission procedure will be based on a peer review process using the Indico system. The conference organizers submit the reviewed papers to the EPJ publisher.

Please use the LaTeX2e template or Microsoft Word template designed for Web of Conferences and send the signed Publication Right Form.

Please note, that articles must be submitted in PDF. It is your responsibility to verify that the submitted PDF adheres to the provided guidelines.

Additionally, note the policy on re-use.
All details are described on the page: https://www.webofconferences.org/authors

Article Length Guidelines

  • Parallel Oral Presentations and Posters:
    Maximum of 8 pages, including references.

  • Plenary Oral Presentations:
    Maximum of 12 pages, including references.

Instructions for Authors – ORCID Integration

You are encouraged to embed ORCID iDs in the source text before submitting it to the journal.

To include your ORCID iD in the author list, ensure you have the orcidlink package included in your LaTeX document:
\RequirePackage{orcidlink}
Then, define your author entry as follows:
\author{\firstname{FirstName} \lastname{LastName}\inst{1}\orcidlink{0000-0000-0000-0000}\fnsep\thanks{\email{your.email@example.com}}}
This will automatically attach your ORCID iD to your name in the author section. Replace 0000-0000-0000-0000 with your actual ORCID iD.
