Poster Session Presenter Instructions

Updated instructions:

Three steps:

1. Upload your poster on Indico: 

In the “Contribution”, look for your poster number. The file should be named: poster_XXX.pdf where XXX is your poster number. An automated script will ‘mount’ the poster for you on the GatherTown platform.

Note the colour of your poster session in the timetable as well.

2. Fill out the form with your availability:

There are three poster sessions for each poster colour. We ask you to be available during two out of the three.

9:00 - 9:30 PM


7:00 - 7:30 AM

10:00 - 10:30 AM

4:00 - 4:30 PM

6:00 - 6:30 PM

1:00 - 1:30 AM (+1)




3. Locate your poster on GatherTown

Before your first poster session, you should go on GatherTown to locate your poster.


If you are not familiar with Gather.Town, please watch first this 3 minute introductory video we made.

If you have trouble with your mic in Gather.Town after doing the tutorial, exit from Gather.Town, join again, and this time skip the tutorial. We don't understand this problem, which a few people had, but the fix is simple.


Original instructions:

Your poster should be a PDF file.

You have nothing to do on GatherTown, as we will ‘hang’ your poster there for you!

However we ask you to name your poster according to the following convention:


where your abstract number can be found in the “Contribution List” (on Indico’s left menu). 

For instance:

This poster file would be named: poster_517.pdf 

Upload your poster on Indico: go to “My contributions” and upload the file.

Your poster should be uploaded before the start of the conference, i.e. Monday, May 24 at 12:30 PM UTC.

We will provide a ‘map’ of the poster rooms so that you know how to go to your poster (and all the other posters you want to look at and discuss) on GatherTown.

Poster presenters should be available for any two sessions of their assigned colour. See the timetable to know which colour is your poster. If you are e.g. purple, be on GatherTown during at least two purple sessions (same goes if your poster is scheduled in a green or yellow session). You can look at other posters or be offline during the extra session of your colour.
