Poster session instruction for authors

Poster session

TWEPP-21 will host two poster sessions. In order to adapt to as many time zones as possible; one poster session will take place on Tuesday, September 21, 2021, 17:20 - 18:40 CEST after the oral presentations, the second poster session on Thursday, September 23, 2021, 10:00 - 11:20 CEST before the oral presentations.
 
Attendees will connect to dedicated zoom rooms links (one per poster) provided by the  poster authors (see below).
 
Please be aware that both poster sessions are identical but indico shows the full schedule only for the Tuesday session. As a result, if  you want to attend the Thursday session, please refer to the Tuesday agenda.
 
The posters will be made available via the TWEPP Indico pages before TWEPP starts so that the poster sessions will be entirely dedicated to discussions between authors and participants. Poster contributions will be included in the proceedings.
 
Poster format: In order to adapt to the TWEPP online format on a computer screen, the contents of the poster should be presented in landscape format. Embedded web links to supporting documents, images and videos are possible. The poster file format should be pdf, with the file name, poster-ID.pdf where ID stands for the TWEPP contribution identification number. 
 
Video: In addition to the posters authors are asked to submit a 3-minute video supporting their posters (file name: video-ID.xxx).
 
Poster/Video deadline: Material for each poster needs to be posted on the TWEPP Indico page before the start of TWEPP, but latest by Thursday, September 16, 2021, at 23:59 CEST.
 
Author presence: Authors will be expected to be available during at least one of the two sessions in order to reply to questions via video connection, and are asked to indicate in which session they are available in advance by filling the following questionnaire: https://forms.gle/asAP5tdCucNx2Jhn9
 
Instructions to attach Zoom room link: The poster authors are kindly asked to attach a link to a Zoom room to the indico schedule. If you chose to require a password for the zoom link, please take the same password as for the oral session video link which is being made available to all registered attendees by email.
 
Step-by-step instructions to attach the zoom link to indico: Look for your poster in the TWEPP schedule on Tuesday 17:20:
 
Create a zoom meeting with your own zoom account for the duration of the start of the tuesday poster session (September 21, 17:00 CEST) until the end of the Thursday session (September 23, 11:40 CEST) and copy the invitation link to be pasted into indico as described below.
Should your zoom account not allow to create a meeting with that long duration, create two meetings and paste both links into indico.
 
Click on the corresponding posters track -->
Click on view session details (symbol with three bars) -->
Click on your poster --> 
Click on view contribution details (symbol with three bars) -->
Click on pen next to "Presentation Materials" -->
Add link -->
Add URL of Zoom room and fill title with "Zoom room".

Instructions to upload poster and video: Follow the same procedure as for attaching the Zoom room link (above) but at the end select "add material" instead of "add link".
Name the poster and video file: poster-ID.pdf, video-ID.xxx.
