HEPiX Workshop Code of Conduct

The HEPiX workshops are community events intended for presentations, networking, collaboration, and learning. We value a civil and respectful environment that encourages the free exchange of scientific and technical ideas.

The organisers are committed to making this workshop productive and enjoyable for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race, nationality, or religion. Harassment of participants in any form will not be tolerated.

This code of conduct applies to all community situations online and offline, including the meetings themselves, mailing lists, forums, social media, social events associated with the workshop, and one-on-one interactions.

Expected Behavior

  • Behave professionally. Harassment and sexist, racist, or exclusionary comments or jokes are not appropriate.

  • Harassment includes sustained disruption of talks or other events, inappropriate physical contact, sexual attention or innuendo, deliberate intimidation, stalking, and photography or recording of an individual without consent.

  • Offensive comments related to gender, sexual orientation, disability, physical appearance, body size, race, or religion are unacceptable.

  • All communication should be appropriate for a professional audience, inclusive of people from diverse backgrounds. Sexual language and imagery are not appropriate.

  • Be kind to others. Do not insult or put down other attendees.

 

Remote Participation and Recording Policy

The workshop will not be officially recorded or broadly broadcast. However, a Zoom connection will be provided for remote participants to follow the talks. This is not intended as a fully hybrid event but as a means for those unable to attend in person to engage with the presentations.

  • The camera will be positioned to capture only the speaker and their slides, without filming the audience. Only speakers who consent to being visible on Zoom will be shown.

  • If you have selected not to be filmed or broadcast by the workshop organizers in any form during the registration process, we will ensure that your presentation is neither recorded nor shared remotely. Also, we will be aware that we respect your choice when doing official photographs during the workshop.

 

Reporting Violations

Participants asked to stop any inappropriate behaviour are expected to comply immediately. If you witness or experience a breach of this code of conduct, you are encouraged to report it by contacting the workshop chair, a HEPiX co-chair, or one of the local organizers.

The organizers will address concerns in a confidential manner. Advisors appointed by the workshop organizers are available to assist and suggest appropriate resolutions. In cases of serious violations, the workshop organizers may take action, including expulsion from the event.
